American Capital Realty Group, Inc. is currently seeking a highly motivated, bilingual in Spanish and English, and skilled individual to join our team as a Front Office Coordinator. This position is an excellent opportunity for a candidate who is passionate about property management administration and looking to contribute to a dynamic and growing organization. The successful candidate will be the first point of contact for the office, responsible for managing front desk operations, providing comprehensive administrative and clerical support, and assisting property management and the accounting team. This position reports directly to the Office Manager.

About the role:

The Front Office Coordinator is responsible for answering telephones and assisting staff in various clerical functions.

The Front Office Coordinator needs to be energetic and won't mind wearing multiple hats. This individual must have experience in handling a wide range of administrative and executive support-related tasks and be able to work independently with little supervision. This person must be well organized, flexible, and enjoy the administrative challenges of supporting an office of diverse people.

Key Responsibilities:

Front Desk & Communications:

  • Answer heavy-volume phone calls and route to the correct extension.
  • Greet and assist all guests who walk into the office.
  • Open, sort, and distribute mail, FedEx, and UPS packages to the correct person.
  • Assist with communication with tenants.
  • Create and submit a weekly emergency after-hours call list, Wednesdays to PCN.
  • Cover the tenant service coordinator when they are absent.

Administrative & Clerical Support:

  • Provide general administrative and clerical support.
  • Assist in the preparation and mailing of reports, letters, and other documents.
  • Keep the company directory updated.
  • Assist the Office Manager with daily workflow

Office Administration:

  • Maintain inventory and order of office supplies.
  • Schedule any needed maintenance for the office.
  • Organize supplies in the break room.
  • Make sure the conference room and lobby are clean and tidy.

Team & Property Support:

  • Assist accounting and provide support to the maintenance department as needed.
  • Email clients a 588 Waiver request form and keep track of them.
  • Assist property supervisors with leasing listings and guest cards.
  • Keep track of commercial tenant insurance

Requirements:

  • Prior administrative or assistant experience.
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent verbal and written communication skills
  • Proficient in Google Workspace
  • Proficient in MS Word, MS Excel, and MS PowerPoint
  • Ability to interact with the public and coworkers in a friendly and professional manner
  • Knowledge of clerical practices and procedures
  • Computer skills and knowledge of office software packages
  • Must Speak Fluent English and Spanish
