Position Information:
BreakForth Solutions is seeking an experienced Senior Executive Administrative Analyst to support the effort of the team supporting our federal customer’s Office of the Chief Information Officer (OCIO) senior executives and front office. The candidate should have experience leading and providing support to senior executives. Experience working in Federal IT organizations is preferred.
Essential Functions
This role will be responsible for performing tasks such as but not limited to:
- Work onsite at the agency headquarters location in downtown Washington, D.C.multiple daysper week.
- Calendar management, including scheduling meetings, appointments, and conferences, managing conflicts, and ensuring timely reminders for the executive.
- Travel arrangements, including booking flights, accommodations, and transportation for official travel, including managing itineraries and necessary documentation, as well as preparing post-travel expense reports.
- Correspondence management, including drafting and editing letters, emails, and reports, policy documents, ensuring accurate and professional communication, and tracking official documentation through executive processes for executive signature and dissemination.
- Project execution, including developing presentations, SOP development, and projects involving researching and compiling data, preparing briefings on research and analysis performed, providing relevant information for decision-making, and other projects such as FOIA requests and records management activities.
- Project coordination, including managing administrative aspects of projects, including tracking deadlines and progress, assigning tasks, and following up on deliverables
- Meeting preparation, including distributing agendas, preparing presentations for an executive-level audience, and ensuring all necessary materials are readily available.
- Liaison with stakeholders, including interacting with internal and external contacts, including other government agency stakeholders.
- Confidentiality, including maintaining discretion when handling sensitive information.
Education/Skills/Experience Requirements:
- Minimum Education: Bachelor’s degree in Business Administration, Communications, Management, or a related field
- Minimum Experience: 5 years of relevant executive administrative analyst experience
- Education/Experience Equivalent:Associate’sdegree + 7 years relevant experience or HS + 9 years relevant experience
- Excellent written and verbal communication skills, including the ability to effectively communicate with diverse stakeholders.
- Strong organizational skills and being able to efficiently manage multiple tasks and priorities while meeting deadlines.
- Excellent attention to detail and ensuring accuracy in all administrative tasks.
- Expertise in Microsoft Office Suite and other relevant software.
- Experience meeting tight deadlines.
- Ability to manage multiple projects simultaneously.
- Ability to work with no supervision.
- Ability to take proactive ownership of projects.
Desired Knowledge/Skills
- Experience working with federal IT organizations
- Experience providing administrative support to federal SES-level executives
- Experience with government policies, procedures, and correspondence.
- Experience with WebTA, ECATS, and E2 Travel.
