ROLE RESPONSILITES - As The Director of Operations you are responsible for ensuring operational outcomes that align with the evolving goals, mission, vision, values, priorities, and organizational initiatives of the Company.
DEPARTMENTAL COMMUNICATION + DEVELOPMENT + OVERSIGHT
- Provide proactive, responsive, prompt, constant and concise communication and departmental deliverables to COS.
- Collaborate closely with the COS to set the strategy and goals for the department, in alignment with organizational wide initiatives.
- Strategically develop and scale the operations department, implementing structure, personnel, and systems to promote efficiency and innovation that generate higher profitability, tighter compliance, and greater efficiencies.
- Analyze market trends, competition, and industry developments to identify opportunities and risks.
- Partner with the COS and VP of Accounting and Finance to develop and manage budgets, forecasts, contracts, and financial plans.
- Develop, cultivate and ensure a high-performance culture that optimizes production, enhances performance, ensures operational continuity, and drives profitability and fiscal health.
- Oversee day-to-day operations, ensuring efficiency, productivity, and adherence to company standards.
- Monitor performance metrics and implement corrective actions when necessary.
- Monitor and maintain organizational culture, safeguarding positive elements that drive company success while identifying and addressing issues that hinder progress.
- Remain attuned to the evolving needs of the organization, integrating these insights into departmental priorities to ensure alignment with long-term goals, and overseeing the implementation of new policies, processes, and innovative solutions that drive efficiency, scalability, and organizational growth.
- Ensure processes are standardized and designed to drive consistent revenue generation, ensure legal compliance, and enhance operational efficiency across the organization.
- Maintain a thorough understanding of regulations and compliance requirements related to comprehensive licensing and contractual obligations within the senior care industry.
- Identify and mitigate risks that could impact the company’s reputation, performance, or operations.
- Relay evolving needs of organization, assessing personnel and processes, and integrating within departmental priorities.
ENSURE COMPLIANT AND STANDARDIZED PROCESSES ADHERANCE
- Ensure in-home care services operate efficiently, comply with licensing body regulations, and maximize profitability and growth, maintaining compliance with payer contract requirements (MMIS, EP, VA, DHS, NWSDS) and OSHA, ADA, FMLA, HIPAA, and other relevant regulatory agencies.
- Ensure operations employees follow standardized Company processes that align with goals
- Support internal and external audit responses through quality assurance evaluations, supportive documentation, plans of correction, and consistent implementation.
- Monitor progress toward Client satisfaction goals and implement corrective actions.
SUPERVISORY RESPONSIBILITIES + OPERATIONAL CONTINUITY
- Responsible for the direct supervision and performance management of the Operations staff.
- Conduct joint interviews for key operations hires.
- Ensure operating companies have the right personnel in place to achieve organizational objectives, and create staffing plans to ensure operational continuity at all times.
- Support the professional growth and development of staff through ongoing training and talent management.
- Travel regularly for motivation, performance management, and in person oversight.
- Facilitate strong inter-departmental communication and engagement.
- Set guidelines, goals, and oversee employee performance.
- Provide project tracking and oversight of direct reports’ tasks and assignments to completion.
- Promote team building through coaching, accountability, and motivation.
- Guide, support, and equip operations staff in their workflow.
- Design and develop standardized orientation and training programs for both Caregiving and Operating Company Employees, addressing sales, customer service, relationship management, compliance, scheduling, payor distinctions, organizational processes, reporting capabilities, and more.
INDUSTRY RELATIONS + KNOWLEDGE
- Establish and maintain key community contacts in industry
- Attend OHCA and IHC Conferences
- Understand rules and regulations governing comprehensive licensing and contracts and payor groups.
- Other duties as assigned

- Proficient in Microsoft Office Suite and relevant software applications.
- Outstanding attention to detail, project management, documentation, organizational and planning skills.

- Exceptional time management abilities to meet deadlines and manage multiple tasks simultaneously.
