Position Summary

The Receiving Scheduling Specialist is responsible for coordinating and scheduling appointments for inbound and outbound freight in a high-volume warehouse environment. This role ensures accurate and timely communication with customers and carriers, verifies appointment details, and maintains precise data entry in internal systems. This position requires a highly organized individual with strong attention to detail and the ability to deliver excellent customer service while supporting transport operations and administrative tasks. It also demands effectively managing multiple appointment requests in a fastpaced environment.


Responsibilities



  • Scheduling: Coordinate and book appointments for incoming/outgoing freight with customers and carriers via email, often for time-sensitive freight. Check dates on appointment requests to ensure accurate dates. Anticipate and resolve scheduling conflicts, delays, or unexpected issues. Adjust appointments quickly and coordinate alternatives to minimize operational disruptions.
  • Customer Service: Handle incoming/outgoing calls, respond to shipment status inquiries, assist with BOLs, and provide general info. Work with CSR team to ensure all information for scheduled appointments is accurate.
  • Data Entry: Accurately input appointment details, PO numbers, temperatures, driver info, and shipment data into internal systems (Datadocks).
  • Administrative Support: Perform general office tasks, sort mail, handle paperwork, and support the operations team.
  • Customer & Carrier Communication: Act as a primary contact for customers and carriers, confirming times, relaying messages, and resolving issues.
  • Additional tasks/projects as needed.


Requirements

  • Experience scheduling appointments, coordinating freight, or working directly with carriers/drivers is strongly preferred.
  • 24 years of experience in logistics, transportation, or warehouse operations required. Experience in scheduling, dispatching, or coordinating freight strongly preferred. Bachelors degree is not required.
  • Proficiency in Microsoft Excel (basic formulas, data handling), Word, and Outlook.
  • Demonstrates solid typing skills with a high level of accuracy.
  • Please note Hours: Monday through Friday 6:00am to 3:00pm with OT as needed.Overtime may be required on Monday, Tuesday, and Friday as needed.

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Because of the open work environment, the noise level is usually moderate. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions. The employee will be on their feet all day, standing or walking on the concrete floor in our 55,000 square foot warehouse and must be able to work in multiple temperatures. The use of computers is up to 80% of each day.
