The Administrative Assistant provides administrative and operational support across the Employee Relations, Accounting and Constructions Support Services departments. This part-time position plays an important role in supporting day-to-day business operations through accurate recordkeeping, employee and financial administration, marketing and communications, and maintenance of company information and resources.
The right candidate will be detail-oriented, dependable, comfortable learning new systems, and able to manage a variety of assignments. This position works closely with multiple departments and requires professionalism, good communication skills, and discretion when handling confidential employee and company information.
This position offers exposure to several areas of business operations and an opportunity to develop a broad range of professional skills.
Key Responsibilities
Employee Relations:
- Assist with new hire onboarding and offboarding
- Maintain accurate and organized employee personnel files and records
- Assist with benefits enrollment, personnel changes and recordkeeping
- Assist with employee engagement activities, company events and internal communications
- Assist and maintain spreadsheets, reports and tracking logs
- Provide general administrative support to the Employee Relations Manager
Accounting:
- Track and maintain employee PTO balances
- Enter and maintain time and expense information in the accounting system
- Process employee expense reimbursements accurately and in a timely manner
- Assist with routine accounting data entry and administrative tasks
- Maintain organized and up-to-date financial records
Construction Support and Marketing
- Manage the company’s LinkedIn presence and social media content
- Create and schedule company social media posts
- Maintain consistency with company branding
- Maintain and update company website content to ensure information is current and accurate
- Assist with other marketing, communications, and Support Services projects as needed
Qualifications
- High school diploma or equivalent required; Associate's or Bachelor's degree, coursework, or training in Business Administration, Human Resources, Accounting, Marketing, Communications, or a related area is a plus
- Strong organizational skills, attention to detail and ability to manage multiple assignments
- Strong computer skills and comfortability using social media platforms is required
- Proficiency with Microsoft suite required, experience with Deltek Ajera or other accounting/project management software is a plus but not required
- Ability to work independently while also collaborating effectively with multiple managers
