Position Summary
The Front Office & Billing Coordinator supports Paragons daily administrative and financial operations by managing patient communication, insurance verification, billing coordination, and record requests. This role ensures that front-office activities run smoothly, billing processes are completed accurately, and patients receive timely and professional service. The ideal candidate demonstrates strong attention to detail, clear communication, and a commitment to maintaining compliance and confidentiality standards.
Key Responsibilities
1. Front Office & Communication Management
- Manage mail, phones, faxes, and general contact email inbox, ensuring prompt and professional communication with patients, partners, and internal staff.
- Greet and assist patients in-office, providing a welcoming and efficient front-desk experience.
- Respond to general inquiries, schedule follow-ups, and direct communications to the appropriate departments.
- Maintain confidentiality in handling all patient-related and administrative information.
2. Billing & Financial Coordination
- Gather invoicing data and prepare reports for review by the finance or billing department.
- Complete weekly billing needs and assist with reconciliations to ensure accurate submission and payment tracking.
- Perform monthly insurance verification for active clients, updating records accordingly.
- Manage monthly Do Not Bill follow-up to ensure proper resolution and prevent claim errors.
- Collect and process co-pays, sliding fee payments, and other patient balances at the time of service or upon request.
- Coordinate Medicaid Fraud Screening as required for compliance and provider credentialing.
3. Patient & Record Management
- Support patients with general account inquiries and provide guidance regarding billing, payments, or insurance coverage.
- Manage and track patient records requests, ensuring timely and HIPAA-compliant processing.
- Maintain accurate and organized patient files, both digital and physical, in compliance with Paragon and regulatory standards.
- Collaborate with clinical and administrative staff to ensure that all records, forms, and communications are processed efficiently.
- Complete Prior Authorization Requests for health insurance companies.
4. Systems & Reporting
- Assist in data entry, reporting, and file maintenance to support audits and internal reporting requirements.
- Coordinate with billing and finance teams to identify areas for process improvement or data accuracy enhancement.
Qualifications
- Education: High school diploma or equivalent required; Associates or Bachelors degree in Business, Healthcare Administration, or related field preferred.
- Experience:
- Minimum 2 years of experience in medical office administration, billing, or insurance verification.
- Knowledge of Medicaid billing, insurance verification, and fraud screening requirements preferred.
- Familiarity with EHR systems or similar patient billing software.
- Strong organizational, communication, and multitasking skills.
- Commitment to confidentiality, accuracy, and customer service excellence.
- Experience working in behavioral health or community health settings.
- Knowledge of HIPAA regulations and medical record management.
- Proficiency in Google Workspace or Microsoft Office Suite.
- Ability to handle a high volume of communication while maintaining professionalism.
- Language Skills: Bilingual (Spanish) preferred, depending on location.
