Job Summary

The Operations Accountant is a critical member of the finance team, responsible for managing, recording, and reconciling financial transactions within the operating accounts. This detail-oriented professional plays a pivotal role in ensuring accurate financial records, supporting cross-departmental collaboration, and maintaining compliance with internal policies. Strong technical skills in accounting systems and financial reporting, combined with a collaborative mindset, are essential for success in this role.

Essential Responsibilities and Duties

  • Post all operating checks to QuickBooks Online in compliance with internal policies and procedures.
  • Record weekly earnings in the operating book as provided by the Trust Accounting team.
  • Post all deposits and charges related to the operating accounts.
  • Reconcile checking and credit card accounts monthly to ensure accuracy and completeness.
  • Process payroll reports and categorize appropriately across various accounts.
  • Reconcile expenses reported through the Clyr platform for consistency.
  • Collaborate closely with the Accounts Payable Administrator to ensure timely payment and proper recording of bills in QuickBooks Online.
  • Assist with the monthly preparation of financial statements.
  • Maintain updated assignments, projects, and priorities as directed by the manager.
  • Undertake additional accounting and bookkeeping responsibilities as required.

Required Qualifications

  • At least 2 years of experience in accounting or bookkeeping
  • Strong foundation of accounting and bookkeeping skills.
  • Proficiency with QuickBooks Online, preferred.
  • Strong attention to detail and accuracy in managing financial data.
  • Excellent organizational skills to balance multiple tasks and projects.
  • Collaborative, team-oriented mindset to foster effective cross-departmental communication.
  • Problem-solving ability with a proactive approach to challenges.
  • Experience in processing large amounts of data and use of pivot tables.
  • Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Power BI or LookerStudio) and Google Workspace (Gmail, Google Meet, Google Chat, Google Docs, Google Sheets, Google Slides, Google Drive, Google Forms).
  • Experience working with accounting systems (e.g., QuickBooks, QuickBooks Online).
  • Experience with financial reporting tools and visualization platforms (e.g., Power BI, Fathom).
  • Experience with project management tools and software (Monday.com, Jira).
  • Understanding of CRM platforms (Salesforce, Litify).

Preferred Qualifications

  • Bachelors degree in Accounting, Finance, or a related field preferred.

Technical Requirements

  • Computer: Intel i5 (8th Gen+) or AMD Ryzen 5 (3000+), or Mac M1+. Min. 8 GB RAM, 256 GB SSD.
  • OS: Windows 11 or macOS.
  • Monitors: Two screens required.
  • Headset: USB wired or wireless.
  • Internet: Wired connection, at least 20 Mbps.

Key Performance Indicators

  • 100% of operating transactions recorded within 2 business days
  • Bank and credit card accounts reconciled by the 5th business day of each month
  • Payroll reports processed and categorized with 98% accuracy each pay cycle
  • Clyr platform expense reconciliations completed weekly with zero backlogs
  • 100% of bills recorded in QuickBooks within 24 hours of receipt from AP Administrator
  • Monthly financial statements prepared and submitted by internal deadline
  • Maintain 2% error rate in data entry and reconciliations
  • Respond to cross-departmental accounting requests within 1 business day
  • Update project/task tracker (e.g., Monday.com) weekly with 100% task status accuracy
  • Participate in and complete at least 1 financial process improvement initiative per quarter
