We’re a loyal, collaborative team that values trust, clear communication, and exceptional service—and we’re seeking a detail‐oriented Surgical Administrative Coordinator to keep our surgical schedule running smoothly.

Position Summary

The Surgical Administrative Coordinator is the logistics hub of our surgical team. Leveraging prior dental office experience—especially in surgery, implants, and insurance—you’ll manage day‐to‐day and long‐range scheduling, track pre‐ and post‐operative timelines, and ensure every clinical day is set up for success. This role focuses on scheduling, coordination, insurance, and documentation—not treatment presentation or financial discussions.

Typical Work Schedule

• Monday–Thursday: 8:00 AM – 5:00 PM

• Friday: 8:00 AM – 12:00 PM

• Occasional adjustments may be needed to meet patient or surgical requirements.

Key Responsibilities

• Build, maintain, and optimize the surgical and consultation schedule for maximum efficiency

• Coordinate internal and external appointments, ensuring proper sequencing for surgical flow

• Track pre‐op and post‐op milestones (e.g., graft healing, implant placement) and keep providers informed

• Ensure surgical charts and clinical documentation are complete and ready in advance

• Verify dental insurance benefits and assist with claims submission and follow-up as needed

• Accurately enter insurance details into the practice management system

• Communicate with referring offices to align appointments and relay updates

• Provide front office support (phones, check-in/check-out) as needed

• Uphold HIPAA protocols and safeguard patient privacy

• Foster a positive, professional environment through reliable attendance and teamwork

Qualifications

• Required: 2+ years of experience in a dental office setting, and dental insurance claims

• Preferred: Background in surgical or implant practices

• Strong understanding of dental insurance, including verification and claims processes

• Demonstrated expertise in scheduling and understanding clinical flow

• Exceptional organizational skills, attention to detail, and time management abilities

• Ability to follow and maintain established systems and protocols

• Clear verbal and written communication skills; strong interpersonal and team-oriented mindset

• Reliable, punctual, and accountable

• Proficient with dental software, shared calendars, and digital communication tools

• Bilingual (English/Spanish) a plus, but not required
