The Role: Operations Coordinator

BuzzHive Creative is looking for a proactive and reliable Operations Coordinator to support our warehouse operations and event production teams. This hybrid role combines administrative coordination, hands-on warehouse support, and on-site event crew work. You will help keep our internal operations running smoothly while supporting the execution of the creative, large-scale experiences BuzzHive is known for.

This role is ideal for someone who enjoys variety in their day, is comfortable switching between computer-based tasks and physical production work, and thrives in a fast-paced, collaborative environment.

What You Will Do

Warehouse and Inventory Coordination

• Track, organize, and maintain warehouse inventory using internal systems.
• Ensure items are labeled, stored properly, and easily accessible.
• Monitor stock levels and alert Operations Manager when items need to be reordered.
• Support loading and unloading of equipment, packing event kits, and preparing assets for client deliveries.
• Perform maintenance on equipment and assets used to support events
• Maintain a clean, safe, and organized warehouse environment.

Administrative Operations Support

• Assist with scheduling warehouse usage, production timelines, and equipment checkouts.
• Update and maintain automated system, digital records, spreadsheets, and project logs.
• Prepare documentation, including pull sheets, load lists, and return confirmations.
• Coordinate vendor communication for equipment rentals, repairs, or replenishments.
• Support office operations as needed, including supply management and occasional front desk tasks.

Event and On-Site Crew Support

• Participate as part of the event crew for set up and strike.
• Support transportation, staging, installation, and breakdown of equipment.
• Follow safety protocols and ensure proper handling of materials.
• Work collaboratively with producers, designers, fabricators, and external partners to ensure seamless event execution.

Cross-Functional Collaboration

• Work closely with the Operations Manager, Production team, and Creative team to support project needs.
• Help anticipate logistical challenges and find solutions quickly.
• Communicate effectively across departments to support timelines and project deliverables.

What You Bring

Required

• One year or more of experience in operations, warehouse coordination, logistics, production support, or a related field.
• Ability to perform both administrative tasks and hands-on physical work in a warehouse or event environment.
• Strong organizational and time management skills.
• Basic proficiency with spreadsheets, digital inventory tools, and general office software.
• Strong communication skills with the ability to collaborate across multiple teams.
• Reliable transportation for commuting to the warehouse and local event sites.
• Comfortable lifting, moving, and transporting equipment and materials as needed.
• Ability to lift, carry, and move items up to 50 pounds safely and repeatedly during warehouse and event work.
• Ability to stand, bend, reach, and move throughout the warehouse or event site for extended periods.

Preferred

• Experience working in event production, fabrication, or experiential environments.
• Knowledge of warehouse organization systems, inventory tracking methods, or pull sheet processes.
• Experience driving cargo vans, sprinter vans, or box trucks.
• Familiarity with safety procedures related to warehouse work and event setup.
• Ability to troubleshoot operational or logistical issues quickly and calmly.
• Interest in growing within operations, production, or project support roles at BuzzHive.
