Job Description Administrative Assistant The Administrative Assistant supports daily operations for a commercial property management company by serving as the front desk point of contact, providing administrative support for managed properties, and assisting with accounts payable functions. This role requires strong organization, professionalism, and attention to detail while interacting with tenants, vendors, and internal team members. This position is temp to hire and will pay between $20 and $22/hr. Responsibilities
- Sit at the front desk and greet visitors, tenants, and vendors in a professional and friendly manner
- Answer and route incoming phone calls and emails
- Maintain sign-in logs, issue visitor badges, and coordinate access as needed
- Provide general administrative support to the property management team
- Assist with property administration tasks such as filing, scanning, and maintaining electronic and paper records
- Prepare and distribute tenant correspondence, notices, and memos
- Track certificates of insurance, contracts, and vendor documentation
- Support lease administration by organizing lease files and updating property databases
- Assist with accounts payable by processing invoices, coding expenses, and entering data into the accounting system
- Match invoices with purchase orders or approvals and ensure timely payments
- Communicate with vendors regarding invoice questions or discrepancies
- Maintain office supplies and coordinate orders as needed
- Assist with special projects and additional duties as assigned
Qualifications
- High school diploma or equivalent required; associate degree or coursework in business or accounting preferred
- 1-3 years of administrative experience, preferably in property management, real estate, or a professional office environment
- Basic understanding of accounts payable processes
- Proficiency with Microsoft Office (Outlook, Word, Excel)
- Strong organizational skills and attention to detail
- Professional communication and customer service skills
