Job Summary:
The DRB Administrator will report to the Director of The Design and the Design Review Board for all the duties and responsibilities listed below and for other duties that the Director may assign during the duration of the employment.

Essential Job Functions:
Job duties include, although not limited to:
- Primary contact during the Construction Phase of all projects that have completed Design Review including all email correspondence, phone coverage, and office walk-ins.
- Primary contact for Builder Application process for all new and existing Builders and for renewals. Administers the entire program including but not limited to DRB reviews, tracks all applications, checks all applications for completeness, communicates with applicants as to timelines, records the final scores, and emails the final scores to applicants.
- Meets all new builders and gives them the PB Construction 101 overview presentation. Conducted with a compliance team member.
- Primary contact for general questions regarding Construction including but not limited to construction application requests, construction application processes, construction guideline requirements, compliance deposit amounts and construction fees, during construction review requirements and applicable applications, and project close outs.
- Accepts and approves all construction submissions, reviews for accuracy and completeness, and issues Palmetto Bluff Building permits. Records the new build information into database/Latapult.
- Schedules on-Site Pre-Construction Meeting with builder, a member of the compliance team, and a POA vendor landscape representative. Issues and delivers PB Building Permit to the Compliance Team for the site meeting delivery.
- Coordinates with POA Field and Compliance Manager on construction site issues, construction site violations, and site maintenance.
- Updates construction statistics and active builder list weekly with Field & Compliance Team.
- Conducts site visits along with a DRB security team member with concerned property owners and/or accepts and responds to property owner concerns regarding construction related issues.
- Coordinates CO updates and communicates updates monthly to Club.
- Tracks timelines for construction and final inspections and issues notices and fines as necessary.
- Collects, records, and distributes to Accounting all payments including compliance deposits, fines, and builder application fees.
- Organize, schedule, and track all reviews that occur during construction (foundation survey reviews, mock-up reviews, final inspections). The foundation survey and mock-up reviews require coordination with DRB members.
- Project Close Out – receives required final documents, schedules and conducts final inspections with Conservancy and Board members as required. Follows up on final inspection conditions and issues compliance deposit refunds requests to Accounting.
- Maintains project records during the construction process.
- Input CO information upon project close-out into Latapult and DRB Access database.
- Tracks Building Permits Issued, projects under construction, foundation survey approvals, mockup application approvals, and COs.
- Directs all communications to builders regarding weather, process changes, security issues, etc.
- Maintains an email list of all active/current builders.
- Directs general DRB questions to the appropriate contact as required.
- Assists Design Review Manager as needed.
- May be called upon to assist with special projects and assume responsibility for the development, administration, and promotion of specific projects, as required.
- Perform other duties as assigned.
Qualifications:
- Must have the ability to communicate accurately and clearly both orally and in writing, pleasant telephone manner. Able to “think on feet” when dealing with callers; customer service oriented “can do” approach to work.
- Knowledge of computers; specifically, experience in Microsoft Office (Word, Excel, and Access) is preferable. The applicant must have superior organizational skills, accuracy, and attention to detail. Excellent problem solving and people skills are required.
- Prior experience in homebuilding, architecture, interior design, or Design Review Board Administration. Must be able to read architectural and landscape drawings.
- Strong organizational skills and ability to work on multiple projects at the same time.
- Collaborative approach working with both internal and external partners.
- Ability to deal with ambiguity and a fast-changing environment with shifting priorities.
- Proven track record of attention to detail
Physical Requirements:
- Must be able to exert a well-paced ability to reach different outlets and other departments of the property on a timely basis.
- Must be able to bend, stoop, squat, and stretch to fulfill cleaning tasks.
- Must be able to lift to 25 lbs. on a regular and continuing basis.
- Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening, and hearing ability and visual acuity.
- Talking and hearing occur continuously in the process of communicating with guests, supervisors, and subordinates.
- Vision occurs continuously with the most common visual functions being those of near vision and depth perception.
- Requires the ability to read, understand, and communicate numbers correctly.
- Requires manual dexterity to use and operate all necessary equipment.
- Must have finger dexterity to be able to operate office equipment such as computers, printers, multi-line touch tone phone, filing cabinets, copiers, dolly, and other office equipment as needed.
