Robert Half is partnering with a top law firm in Suburban Minneapolis, Minnesota for a Receptionist. As the first point of contact for clients and visitors, you will play a key role in ensuring a welcoming and efficient environment. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks with confidence and poise.
Please note: This is a Full-time, in-office position.
Responsibilities:
• Answer and direct calls using a multi-line phone system with courtesy and professionalism.
• Welcome and assist clients, guests, and visitors to create a positive and lasting first impression.
• Maintain the cleanliness and organization of conference rooms, including furniture arrangements and stocking beverage supplies.
• Monitor and replenish office and kitchen supplies, ensuring common areas remain fully stocked and tidy.
• Schedule and set up conference rooms for meetings, including food and beverage arrangements.
• Provide administrative support, including scanning, data entry, and updating client information in management systems.
• Assist attorneys with client-related tasks, such as conflict checks and the preparation of client matter forms.
• Coordinate courier services, manage firm calendars, and notarize client documents as needed.
• Support special projects such as event planning, marketing initiatives, and inventory management.
• Act as a backup to the Back-Office Assistant during breaks and extended absences.
• Proficiency in managing multi-line phone systems and providing exceptional customer service.
• Strong organizational skills and attention to detail in maintaining office and common areas.
• Experience with data entry and email correspondence using Microsoft Office tools such as Word, Excel, and Outlook.
• Ability to schedule appointments and manage calendars efficiently.
• Excellent interpersonal skills to interact with clients, visitors, and staff professionally.
• Familiarity with scanning, filing, and organizing documents in legal practice management software.
• Capability to notarize documents and witness signatures.
• Confidence in handling multiple tasks and prioritizing responsibilities effectively.
