The Fleet Coordinator is responsible for the daily management, coordination, and administration of the company’s vehicle fleet program. This role ensures operational efficiency, cost control, and compliance with safety and maintenance standards across all company vehicles. The Fleet Coordinator will work closely with Enterprise Fleet Management, vendors, drivers, and internal departments to optimize fleet performance and support field operations.

  • Collaborate with project management and supply chain teams to align warehouse activities with company objectives.

Operational Responsibilities

  • Manage vehicle leases, renewals, ordering, upfitting, delivery, and disposals through Enterprise Fleet Management.
  • Maintain accurate fleet asset records, assignments, mileage tracking, and compliance with lease terms.
  • Coordinate preventive maintenance, repairs, inspections, recalls, and warranty work to ensure vehicle reliability.
  • Administer WEX fuel cards and driver PINs; monitor usage, reconcile monthly statements, and resolve discrepancies or unauthorized transactions.
  • Manage SkyEye GPS/telematics accounts; track vehicle locations, utilization, idling, and generate performance and safety reports.
  • Ensure all vehicles meet company safety standards and are equipped with required items (first aid kits, fire extinguishers, warning triangles, etc.).
  • Track and schedule vehicle registrations, inspections, emissions testing, and maintain insurance and claims documentation.
  • Process fleet invoices, reconcile vendor billing, and assist with annual budget forecasting for leases, fuel, and maintenance.
  • Develop and maintain Power BI dashboards and reports for fleet cost, utilization, and performance metrics.
  • Serve as primary point of contact for fleet vendors (Enterprise, WEX, SkyEye) and internal drivers.
  • Support roadside incidents, accident reporting, and replacement coordination.
  • Onboard and offboard drivers; issue and recover fuel cards, GPS devices, and vehicle equipment.
  • Promote safety and compliance by supporting driver coaching, monitoring policies, and enforcing company standards.

Requirements

  • 3+ years of experience in fleet coordination, logistics, or operations.
  • Proficiency with fleet, fuel, and telematics systems (Enterprise, WEX, SkyEye, or similar).
  • Strong organizational, analytical, and communication skills.
  • Knowledge of vehicle maintenance, leasing, and DOT/safety compliance standards a plus.

Physical Requirements & Work Environment

  • Ability to sit, stand, and walk for extended periods in an office environment.
  • Occasional lifting, carrying, or moving of materials and equipment up to 25 lbs.
  • Periodic stooping, reaching, bending, or climbing short ladders during fleet inspections.
  • Work may be performed in both office and warehouse settings, with occasional outdoor exposure during vehicle inspections, deliveries, or site visits.
  • Moderate noise levels consistent with office, warehouse, and fleet operations.
