The Patient Relations Coordinator is responsible for ensuring a seamless and positive experience for patients by managing communications, coordinating appointments, handling referrals, assisting with medical records, and obtaining necessary consents. This role plays a crucial part in patient satisfaction and operational efficiency.
Key Responsibilities:
- Patient Communication & Support:
- Greet patients warmly and assist with check-in/check-out.
- Answer calls, respond to emails, and manage patient inquiries.
- Address patient concerns and escalate issues when necessary.
- Scheduling & Coordination:
- Schedule appointments, procedures, and follow-ups.
- Confirm and reschedule appointments as needed.
- Coordinate with physicians and clinical teams to ensure smooth patient flow.
- Referrals & Medical Records:
- Process and track incoming and outgoing referrals.
- Communicate with referring providers and ensure necessary documentation is received.
- Assist with medical records requests, ensuring compliance with HIPAA regulations.
- Patient Experience & Documentation:
- Ensure patients feel heard, valued, and cared for.
- Obtain and document patient consents for treatments and procedures.
- Provide guidance on procedures, billing, and insurance-related questions.
- Administrative Duties:
- Maintain accurate patient records in the system.
- Assist with insurance verification and prior authorizations.
- Manage incoming and outgoing patient documents.
Qualifications:
- Strong communication and interpersonal skills.
- Customer service experience (preferably in a healthcare setting).
- Ability to handle sensitive patient information with discretion.
- Proficiency in scheduling software and electronic medical records (EMR).
- Problem-solving skills with a patient-first approach.
Preferred Experience:
- Background in ophthalmology, optometry, or medical office settings.
- Experience handling referrals and medical records.
- Bilingual abilities (preferred but not required).
Work Environment:
- Full-time position with office-based duties.
- Requires flexibility to handle busy patient schedules.

St. Michael's is a fully equipped, state-of-the-art medical practice housing some of the most experienced and skilled vision care specialists. St. Michael's four highly trained ophthalmologists have over 100 years in combined experience in performing the most advanced and complete medical/surgical care for the eye.
St. Michael's office is located at 1030 West Bay Drive Largo, Florida. The 12,000 square foot office includes fifteen examination rooms, five testing/procedures rooms, a full-service eye clinic, full-service optical department and state-of-the-art diagnostic imaging and treatment equipment including optical coherence tomography, ocular/retinal angiography, Excimer laser, retinal thermal laser and YAG and Selective Laser Trabeculoplasty (SLT) lasers.
Located on the same campus as St. Michael's office is the 7,500 square foot AAAHC accredited St. Michael’s Surgery Center which includes three operating rooms and one procedure room. SMS is separately licensed and accredited as a freestanding Ambulatory Surgery Center that is 100% dedicated to providing ocular/eye surgery.
St. Michael's Surgery Center is equipped with complex/advanced equipment including two Zeiss Opmi Lumera surgical microscope systems (only University of South Florida has this level of technology in the Tampa Bay area), a Centurion Cataract Vision System (only three in the Tampa Bay area) and an Alcon Constellation Vision System (only three in the Tampa Bay area). St. Michael's Surgery Center complex/advanced ocular/eye equipment and highly trained ocular/eye surgery clinical staff results in St. Michael's Surgery Center providing more complex/advanced ocular/eye surgery than other ASCs in the area including complex cataract surgery, corneal transplants, eye shunt implants, revision of the iris, endoscopic ablation, retinal detachment surgery and vitreous hemorrhage surgery.
