Position Summary:
The Executive Administrative Assistant will play a key role in ensuring the smooth operation of executive-level functions. This position requires a proactive and detail-oriented professional who excels in calendar management, scheduling, and payroll coordination.
Key Responsibilities:
Provide high-level administrative support to executives, including managing complex calendars and scheduling meetings across time zones.
Coordinate travel arrangements and prepare detailed itineraries.
Handle confidential information with discretion and professionalism.
Prepare reports, presentations, and correspondence as needed.
Assist with processing and tracking payroll and timekeeping in coordination with HR and finance departments.
Serve as a point of contact between executives, staff, clients, and external partners.
Monitor and prioritize incoming communications, ensuring timely responses and follow-ups.
Support special projects and other administrative tasks as assigned.
Qualifications:
Proven experience as an executive assistant or similar administrative role.
Exceptional organizational and time-management skills.
Proficient in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and scheduling tools (e.g., Google Calendar, Outlook).
Familiarity with payroll systems and basic HR functions (e.g., ADP, Paychex, or similar platforms).
Strong written and verbal communication skills.
Ability to handle multiple priorities with a high level of accuracy and attention to detail.
Discretion and confidentiality are a must.
Preferred Qualifications:
Experience supporting C-level executives.
