Compensation: $18.00 per hour
Reports to: Practice Manager
Supervisory Responsibilities: NonePosition Summary:The Medical Secretary is responsible for accurately scheduling patient appointments and performing a variety of administrative and clerical tasks to ensure efficient office operations. This role requires excellent communication skills, attention to detail, and a strong commitment to patient confidentiality and customer service.Essential Duties and Responsibilities:
- Deliver exceptional customer service to patients, providers, management, and team members.
- Schedule and reschedule patient and provider appointments accurately and in a timely manner.
- Verify patient information during each visit and update records accordingly.
- Answer incoming phone calls professionally and route them to the appropriate personnel.
- Accurately take, document, and forward telephone messages using the EMR system.
- Complete “Clip Program” tasks, which involve gathering and submitting dialysis-related information to the treatment facility prior to a patient’s start date.
- Perform general clerical duties including filing, scanning, and indexing documents into electronic charts.
- Manage requests for medical records from external offices and ensure timely processing.
- Support various projects and administrative tasks as assigned by the Practice Manager.
- Maintain patient confidentiality in compliance with HIPAA and organizational policies.
- Perform other duties as assigned.
Education and Experience Requirements:
- High school diploma or GED required.
- Minimum of one (1) year experience in a healthcare or medical office setting.
- Typing speed of 50 WPM preferred.
Required Knowledge, Skills, and Abilities:Knowledge of:
- Healthcare/managed care industry policies and procedures
- General office equipment (phones, computers, scanners)
- Customer service standards and techniques
- Office administrative operations
Skills in:
- Effective use of office equipment and computer systems
- Accurate data entry and basic calculator use

- Communicate clearly and professionally, both verbally and in writing
- Establish and maintain effective relationships with patients, families, providers, and coworkers
- Organize, prioritize, and complete tasks efficiently
- Follow written and verbal instructions
- File documents using both alphabetical and numerical systems
- Interpret and apply company policies and regulatory guidelines
Working Conditions and Physical Demands:
- Work is performed in a standard medical office environment with adequate lighting and ventilation.
- Duties require frequent sitting, occasional standing, and routine use of a computer and office equipment.
- Manual dexterity necessary for handling office tools such as keyboards, calculators, and phones.
