The Laboratory Administrative Support Technician provides administrative and operational support to the laboratory by ensuring the accurate receipt, inspection, accessioning, and documentation of client samples. This position serves as the primary point of entry for laboratory samples and is responsible for maintaining accurate records within the Laboratory Information Management System (LIMS) or laboratory database. The technician also performs data entry of laboratory test results and assists with maintaining documentation in accordance with laboratory quality procedures.
Essential Duties and Responsibilities
Sample Receiving and Accessioning
- Receive and process incoming client samples and shipping packages.
- Verify samples against chain of custody forms, test request forms, and client instructions.
- Inspect samples for completeness, proper labeling, damage, leakage, acceptable condition, and required collection information.
- Document discrepancies, damaged samples, or missing information and notify appropriate laboratory personnel.
- Apply laboratory identification labels and accession numbers to all samples.
- Log samples into the laboratory database or LIMS accurately and completely.
- Maintain sample traceability throughout the accessioning process.
- Route samples to the appropriate laboratory personnel or storage location.
Data Entry and Documentation
- Enter laboratory test results into the laboratory database accurately and in a timely manner.
- Review data entries for completeness and accuracy before finalization.
- Scan, file, and maintain electronic and paper laboratory records.
- Maintain confidentiality of client information and laboratory data.
- Assist with report preparation and administrative documentation as assigned.
Quality and Compliance
- Follow all laboratory Standard Operating Procedures (SOPs), quality policies, and safety procedures.
- Maintain accurate documentation in accordance with ISO/IEC 17025 and applicable regulatory requirements.
- Identify and report discrepancies or quality issues to laboratory management.
- Assist with record retention and document control activities.
General Administrative Support
- Answer telephone and email inquiries related to sample receipt and status.
- Assist with preparation of sample shipping materials and laboratory supplies.
- Support laboratory staff with administrative tasks as needed.
- Maintain a clean, organized, and efficient sample receiving area.
Qualifications
Education
- High school diploma or equivalent required.
- Associate degree in biology, microbiology, laboratory science, or business administration preferred.
Experience
- Previous experience in data entry, laboratory administration, specimen accessioning, or sample receiving preferred.
- Experience using a Laboratory Information Management System (LIMS) is desirable.
- Experience working in a regulated laboratory environment is a plus.
Knowledge, Skills, and Abilities
- Excellent attention to detail and organizational skills.
- Strong computer proficiency, including Microsoft Office applications and database entry.
- Ability to perform repetitive tasks while maintaining a high degree of accuracy.

- Commitment to maintaining confidentiality and data integrity.
Physical Requirements
- Ability to sit or stand for extended periods.
- Ability to lift and carry packages weighing up to 30 pounds.
- Manual dexterity sufficient to label, organize, and process laboratory samples.
- Ability to work in a laboratory environment while following applicable safety procedures.
Working Conditions
- Laboratory and office environment.
- Frequent interaction with laboratory personnel, clients, and shipping carriers.
- Work may require handling biological samples while following appropriate biosafety practices and personal protective equipment (PPE) requirements.
