Job Title: Inventory Finance Specialist, Assistant/Testing Coordinator Assistant

FLSA Status: Non-Exempt

Reports to: Inventory Finance Specialist

Work days: Part-time to Full-Time, approved work site calendar, typically Monday through Friday, 7:00 am -3:30 pm. See the offer letter for specifics.

Start Date: Immediate

Hourly Wage Range: $18 - $20/hour

Position Summary: The Inventory Finance Assistant will play a crucial role in supporting the financial management of inventory. This position involves collaborating with various departments to ensure accurate inventory tracking and valuation, monitoring stock levels, and assisting with financial reporting and analysis. The ideal candidate will possess strong analytical skills, attention to detail, and a passion for optimizing inventory processes.

One primary area of support to school staff is the collaborative team-oriented approach to projects taken by the Purchasing Specialist, the Inventory Finance Specialist, and other Finance staff.

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities. He or she will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Inventory Assistant Essential Function

  • Assist in maintaining accurate inventory records, including data entry, reconciliation, and adjustments of inventory records
  • Collaborate with the Inventory Finance Specialist to prepare inventory reports as needed
  • Assist in monitoring inventory levels and work with finance teams to address discrepancies and optimize stock levels
  • Assist in distributing delivered and stock materials to classrooms and administrative departments as needed.
  • Assist in the development and implementation of inventory management policies and procedures.
  • Participate in regular audits to ensure inventory accuracy and compliance with financial policies, regulations and standards
  • Coordinate with the finance department to ensure accurate posting of inventory transactions
  • Assist in collaborating with faculty and staff to identify inventory needs and support educational programs.
  • Assist in maintaining an organized and clean inventory storage area.
  • Participate in special projects and initiatives aimed at improving inventory management processes
  • Assist the testing coordinator
  • Complete and document all training assigned by their direct supervisor in a timely and accurate manner
  • Other duties as assigned

Assessment Coordinator Assistant Essential Function Part-Time | Seasonal approximately 10 weeks per year

Job Duties:

  • Train with the Assessment Coordinator on Chromebook troubleshooting and testing programs, including PearsonNext, Bluebook, and NWEA.
  • Provide day-of testing support, including technical troubleshooting.
  • Understand and execute established testing procedures to ensure a smooth testing environment.
  • Collaborate with the technology (Alerio) team to maintain seamless technology operations during testing.

Dual Position Requirements:

  • A high school diploma or equivalent is required; an associate's or bachelor's degree in a related field is preferred
  • Previous experience in inventory management, supply chain, or a related field.
  • Strong organizational and multitasking skills
  • Proficiency in inventory management software and Microsoft Office Suite including Microsoft Excel
  • Excellent communication and interpersonal skills
  • Demonstrate proficiency in both written and spoken English to effectively perform their job responsibilities and communicate in the workplace
  • Attention to detail and a high level of accuracy
  • Ability to lift and move inventory items as needed
  • Familiarity with educational materials and supplies is a plus

Dual Position Physical Requirements:

  • Must be able to lift up to 35 pounds; living and moving of heavier items with a helper is also required
  • Specific vision abilities required by this job include close vision requirements due to computer work
  • Ability to stand, sit, and regularly use hands and fingers to operate a computer for long period of time
  • Physical assembly of furniture, technology, equipment, and other school related supplies is a part of the job
