We are seeking a highly organized Bookkeeper / Staff Accountant to manage the day-to-day financial operations of the business. This role is ideal for someone who enjoys keeping financial systems organized, ensuring payroll and vendor payments run smoothly, and providing accurate financial information to leadership. You will work closely with the leadership team to maintain accurate books, support employee payroll and benefits administration, and ensure financial reporting and compliance processes are executed reliably.


Key Responsibilities

Bookkeeping

  • Import Daily Activity from POS, Shop Management System (SMS), Bank, and 3rd Party Vendors
  • Pay bills and confirm contractual discounts and terms and rewards programs are being applied/collected
  • Set up and collect W9s, ACH, and related documentation for vendors as needed
  • Notify operations of any operational activity that is outside the standard practices

Credit Card & Expense Management

  • Monitor company credit card transactions
  • Reconcile statements and expenses and ensure proper QuickBooks categorization
  • Process monthly credit card payments

Cash Flow & Banking

  • Reconcile bank accounts and financial transactions
  • Maintain cash flow projections for leadership visibility

Payroll & Employee Compensation

  • Calculate and process payroll in HRIS BambooHR for company employees
  • Set up new employees within the payroll system and maintain employee payroll records
  • Manage employee-specific deductions and withholdings (taxes, benefits, retirement, etc.)
  • Process payroll adjustments and corrections as needed
  • Maintain payroll records and ensure compliance with Minnesota payroll requirements

Employee Benefits & Retirement Payments

  • Process company payments for 401(k) contributions
  • Process health insurance premium payments and related benefit invoices
  • Ensure payroll deductions align with benefit elections
  • Maintain records for employee benefit participation and payments

Financial Reporting

  • Prepare and review monthly financial statements
  • Maintain general ledger accuracy
  • Assist with month-end close and account reconciliation
  • Identify discrepancies and resolve financial inconsistencies

Supporting Activities

  • Process and file sales and use tax filings
  • Maintain records supporting state and local compliance
  • Support external CPA during periodic tax planning and year-end tax preparation
  • Special projects to support the growth and efficiency of Turbo Tims

Financial Systems & Organization

  • Maintain accounting systems and financial documentation
  • Improve financial workflow processes where possible
  • Ensure financial data is organized, accurate, and accessible



Qualifications

Preferred qualifications include:

  • 37+ years bookkeeping or staff accounting experience
  • Experience processing payroll, benefits deductions, and employee withholdings
  • Experience preparing monthly financial statements
  • Detailed fluency and use of QuickBooks Online
  • Experience processing sales and use tax filings
  • Strong organizational skills and attention to detail
  • Ability to work on-site required (with flexibility for periodic off-site if desired)
  • Self-motivated and strong accountability to deliverables
  • Comfort working in a growing, nimble small-business environment
  • Collaborative, curious and process improvement mindset

Bonus experience:

  • Multi-location business accounting
  • Experience with BambooHR HRIS/Payroll
  • Awareness of Entrepreneurial Operating System (EOS)
  • Automotive or service industry experience
  • Experience with Office Management and Human Resources functions
  • Experience supporting leadership teams with financial reporting
