Job Description:
This is a unique opportunity for a seasoned Executive Assistant and Office Manager to step into a dynamic, hands-on role. The right candidate will be experienced in both executive-level support and day-to-day office management. The firm values long-term commitment and seeks someone who takes pride in being a strategic partner in the business.
Key Responsibilities:
- Provide calendar and travel coordination support for senior leadership, including complex scheduling across multiple time zones
- Coordinate domestic and international travel, lodging, and itineraries
- Manage office operations: vendor relations, supply ordering, and facilities coordination
- Handle bookkeeping tasks: accounts payable/receivable, deposits, invoice tracking, expense reports
- Plan and execute internal and external events (e.g., annual 400-person brunch, fundraisers, and client dinners)
- Serve as liaison with high-level contacts including public figures and senior executives
- Maintain a clean, professional, and welcoming office environment
- Lead internal communications and assist with onboarding new staff
- Manage inbox and communications for executives with discretion and accuracy
Qualifications:
- 2+ years supporting C-suite or founder-level executives
- 3+ years of experience managing office operations in a small firm (under 50 employees preferred)
- Prior background in legal, private equity, or consulting environments highly preferred
- Advanced proficiency with Microsoft Office 365, especially Outlook, PowerPoint, and Excel
- Tech-savvy and eager to learn new tools; interest in emerging technology and AI is a plus
- Bachelor's degree strongly preferred
- Must be organized, detail-oriented, adaptable, and proactive with excellent communication skills
- Must not currently be enrolled in school and should have a demonstrated track record of stability in prior roles
