JOB TITLE: Human Resource Assistant

DEPARTMENT: Administration

SUPERVISOR: Human Resource Director

General Job Description:

Assist the head of HR with duties pertaining to interviews, hiring, orientation, training and tracking of all. Facilitate or perform all training for all staff. Be the natural support for the Office Assistant position that shares the front office. Maintain a safe and organized front office. Experience in Human Resources Information Systems, accessing and managing multiple external systems, some knowledge of employment laws. Experience in Recruiting & Hiring, and employee relations


MAJOR DUTIES AND RESPONSIBILITIES:

  • Serve as safety officer to building. Manage all visitors to the building.
  • Greet/screen visitors, applicants, staff with a friendly, professional manner
  • Answer the phones and run an efficient office area including all filing & clerical duties
  • File all HR documents. Maintain personal files for all staff.
  • Maintain appropriate communications with OWC directors, other staff and business contacts.
  • Attend all meetings and trainings as required
  • Assist the Office Assistant with tasks that they would need to complete, know their JD
  • Complete the hiring process including all interviews and reviewing applications
  • New Hire compliance including background checks, sex offender registry, and A&N registry in accordance with our policy & procedures
  • Complete the new employee Orientation process and ensure that all responsible parties follow guidelines.
  • Manage the Recruiting of candidates through Paylocity and various external Job Boards
  • Manage and Assist the Onboarding process of new employees in our Paylocity HR/Payroll system, including follow-up
  • Create Employee files in their entirety
  • Make sure new employees can successfully access Paylocity
  • Assign email account to New Hires
  • Participate in agency Safety Committee
  • Create and run all staff employee trainings including new hire and annual training
  • Set all staff up for trainings with other trainings that need to be completed
  • Track all employee training and ensure they remain current
  • Be a team player
  • Learn, follow & enforce all policy & procedures of the agency
  • Learn, follow & enforce all safety & emergency procedures for the agency
  • Be involved in OWC fundraising events
  • Perform other duties as assigned, or as they arise.


Requirements:

QUALIFICATIONS FOR THE JOB:

  • Must possess Associate's Degree or High School Diploma with equivalent HR experience
  • Have a familiarity with HR employment laws
  • Former HR job experience
  • Must be reliable, dependable, flexible with your hours
  • Must possess proven experience and success in staff relations
  • Must be able to work as part of a team as well as be independent
  • A vast working knowledge of Microsoft Outlook 365
  • Working knowledge of Microsoft Suite Excel, & Word
  • Knowledge and experience with DDS compliance a plus
  • Must be loyal to OWC and the Executive Director
  • Must have good written and verbal communication skills
  • The ability to multi-task to meet deadlines
  • CPR and annual trainings

PHYSICAL REQUIREMENTS:

Must be able to carry a minimum of 40 pounds
