Job Overview:

We are seeking a highly organized, proactive, and reliable Secretary to support a busy business owner in managing day-to-day operations, scheduling, and communication. The ideal candidate will be detail-oriented, discreet, and able to handle administrative tasks efficiently while maintaining professionalism and confidentiality.

Key Responsibilities:

  • Manage and organize the owner’s calendar, appointments, and meetings

  • Screen and prioritize emails, phone calls, and other communications

  • Prepare reports, documents, and presentations as requested

  • Handle travel arrangements and itineraries

  • Maintain organized filing systems (physical and digital)

  • Assist with project coordination and follow-ups

  • Serve as a liaison between the business owner and clients, staff, or vendors

  • Perform general office duties including data entry, ordering supplies, and billing support

  • Handle personal errands or tasks as requested (optional depending on role)

Qualifications:

  • Proven experience as a secretary, executive assistant, or similar administrative role

  • Excellent verbal and written communication skills

  • Strong organizational and multitasking abilities

  • Proficient in Microsoft Office Suite, Google Workspace, and calendar management tools

  • Discretion and confidentiality are a must

  • Ability to work independently and prioritize tasks effectively

  • High school diploma required; associate's or bachelor’s degree is a plus
