Job DescriptionFunction:
The Clinical Services Coordinator has the primary responsibility of supervising master’s level, licensed behavioral health professionals in their day-to-day functions, as well as providing assessment, planning, and implementation of the treatment for clients in their assigned program. The Clinical Services Coordinator will oversee the day-to-day job duties of an assigned team of therapists and provide clinical supervision, billing supervision, clinical support, mentoring, and assist the Senior Director with administrative work and program leadership. If issues within their assigned team arise, the Clinical Services Coordinator will be responsible for developing and reviewing supervision and performance improvement plans with the team member.
Organizational Duties & Responsibilities:
- The primary responsibility of all staff is to ensure the safety and well-being of all Ramey-Estep/Re-group (RE) clients.
- Supports the mission, vision, and values of RE. Facilitates and adheres to the agency’s code of ethics, policies, and procedures.
- Supports all functions that attain and maintain accreditation and compliance with regulatory agencies.
- Supports and facilitates positive interaction with clients and staff by exhibiting both in-office and in-public when carrying out job duties: individual maturity, respect for others, a team-centered approach, maintenance of confidential information, and awareness and sensitivity to cultural and other differences in clients and staff.
- Exhibits effective communication skills including proper use of agency communication systems.
- Participates in appropriate professional development programs to attain and maintain competency.
- Effectively manages financial and physical resources to achieve the mission of RE.
- Reports incidents of abuse or potential abuse involving clients to the appropriate authorities and RE.
Essential Duties and Responsibilities:
- Provides clinical and billing supervision to assigned staff. This includes, but is not limited to, at least once monthly, a review of caseloads of assigned staff, review of documentation of assigned staff, direct observation and feedback of assigned staff, identification of strengths and areas of improvement of assigned staff, and development of and ensuring follow through of performance improvement plans when needed.
- Assists the Senior Director in administrative duties and clinical leadership of program therapists. The Clinical Services Coordinator should be able to step in for the Senior Director if needed during vacation or leave and may approve timesheets and mileage as well.
- Conducts and documents diagnostic assessment and treatment goals/objectives within the appropriate time frame.
- Directs the planning and writing of the client’s care plan.
- Responsible for the treatment component of all clients assigned to caseload and overseeing all client caseloads of those therapists assigned to you.
- Promotes a positive view of RE and Re-group to the public and outside agencies.
- Provides individual, group, collateral, and family treatment, as appropriate, to clients based on clinical issues and treatment needs.
- Maintains current therapy notes, treatment reports, and other written documentation and correspondence according to agency policy and within appropriate time frames.
- Attends and participates in all therapist/clinical meetings and assists others in developing appropriate intervention techniques, case consultations, and providing clinical service updates.
- Maintains current licensure and stays within ethical guidelines provided by your licensure board.
- Participates in supervision and consultation on a regular basis.
- Collaborates effectively with other assigned RE/Re-group services and community partners.
- Meets minimum requirements for billable/in-session time on a consistent basis based on caseload, program, and area served.
- Assists in crisis intervention efforts to maintain the safety of the children and use crisis as an opportunity for growth.
- Assists with File Review process.
- Ability to be flexible and adapt to changes in schedules and work environment.
- Provides consistent, quality treatment to all clients on their caseload.
- Ensures all necessary records are maintained and kept confidential.
- Ensures entries in all treatment plans, and narrative reports to outside entities such as MCO’s, DCBS, and court are done in a professional, concise, and timely manner.
- Ensures a thorough aftercare plan is developed for assigned clients prior to discharge.
- Participates in “on-call” schedule when appropriate.
- The Residential (Day Treatment) Clinical Services Coordinator coordinates scheduling for the Therapist and Case Manager for youth out-of-school periods along with the Residential Program Coordinator & School Based Services Clinical Director.
- Performs other duties as assigned.
Working Conditions/Environment:
- Shift is generally Monday – Friday but hours will vary based on the needs of the client.
- Holidays, weekends, and extra hours may be required.
- Intense, unpredictable population with the possibility of verbal and physical aggression.
- Fast-paced environment with the need for quick decisions to deal with any crisis that may arise.
- Traveling throughout the week to meet with clients, families, and/or community partners in home and/or school settings as well as out-of-town meetings.
- Primary work setting is within the assigned program. OP Clinical Services Coordinators will be in community settings including client homes and schools. The residential (Day Treatment) Clinical Services Coordinator will primarily be on the residential campus.

Minimum Job Requirements:
Education:
- Master’s degree from an accredited university in a clinical field, i.e. social work, counseling, psychology.
Experience:
- Experience in community-based and residential programs preferred.
Specific skills and requirements:
- Must be at least 21 years of age.
- Must have strong leadership and organizational skills.
- Must maintain a valid Driver’s License and insurability.
- Must have excellent communication and conflict resolution skills.
- Technical requirements include proficiency with Microsoft Word, Excel, PowerPoint, and any other applications used by the organization or regulatory agencies.
- Ability to understand and relate to the needs of clients from diverse backgrounds.
- Ability to read, write and converse in English.
- Successful completion of a pre-employment drug screen.
- Successful completion of a background screening.
- Successful completion of a TB skin test or proof of a negative chest x-ray or other documentation.
Specialized Licenses or Training:
- Independent Licensure or independent license eligible required.
- Maintains 40 hours of Annual Training through Relias or other appropriate sources (including 16 hours of Safe Crisis Management training for residential).
- Maintains at least minimum training for licensure.
- Attends all assigned training specific to job assignment.
