Schedule: Full-Time, Monday–Friday, 40 hours/week (No Overtime)
Reports to: Operations and Accountability Supervisor
Work Environment: On-site only (no remote or hybrid options)

About the Role:
The Client Success Specialist is a critical member of our Operations team, responsible for guiding new providers/families through the onboarding journey and ensuring their long-term success. This role focuses on two primary areas:
1. Onboarding: Moving potential providers/families from intake to “live and billable” status by ensuring all requirements, documentation, and system steps are completed accurately, compliantly, and on time.
2. Retention: Maintaining strong, ongoing relationships with active providers, ensuring compliance, addressing issues proactively, and helping them to continue delivering services without interruption.
The ideal candidate is driven, organized, persuasive and thrives in a fast-paced, phone-first environment. They are confident, resourceful, and persistent—able to create momentum, solve problems, and keep clients engaged even when information is vague or challenges arise. Phone skills are a must and a critical part of this job; if you are afraid of speaking to people on the phone, this is not the job for you. We expect charisma, charm and effectiveness on the phone when speaking with clients and an ability to deliver on goals.
Key Responsibilities:
Onboarding Providers/Families
· Serve as the main point of contact for new providers/families referred by the Intake team.
· Guide them through LifeTree’s onboarding steps, including documentation, credentialing, background checks, and DDD compliance requirements.
· Ensure all steps are completed accurately, compliantly, and on schedule to bring providers “live” as quickly as possible.
· Track progress in internal systems and maintain clear, consistent communication with all stakeholders.
Retention and Relationship Management
· Maintain ongoing communication with active providers via phone, text, and email.
· Ensure providers remain compliant with certifications, renewals, and required forms.
· Proactively identify and address any issues that could impact service delivery, billing, or provider satisfaction.
· Provide timely support and education to providers to prevent service disruptions.
· Develop a regular follow-up cadence to keep relationships strong and engagement high.
Operational Excellence
· Manage multiple onboarding and retention cases simultaneously while meeting deadlines and quality standards.
· Document all interactions and maintain accurate records in agency systems.
· Collaborate with Intake, EVV, Courses, and other Operations teams to ensure seamless handoffs and alignment.
· Monitor trends and share feedback to improve onboarding and retention processes.

Qualifications
· 2+ years of experience in a client-facing, process-driven role (e.g., account management, provider relations, or administrative operations).
· Strong communication skills, especially over the phone.
· Excellent organizational skills and ability to manage multiple Providers/cases at once.
· Exceptional attention to detail and ability to work independently with minimal supervision.
· Ability to remain focused and solutions-oriented in a fast-paced environment with ambiguity and shifting priorities.
· Comfortable holding others accountable while maintaining a professional and service-minded tone.
· Pro-actively problem-solve and seek ongoing opportunities for improvement.
· Strong proficiency with e-mail management, Excel, and data systems.
· Experience working with diverse populations and understanding cultural sensitivity.
· Must be authorized to work in the U.S.
