The Role:

We are seeking a dedicated Receptionist/Administrative Assistant - Clinical to serve as the first point of contact for individuals and visitors, ensuring a welcoming and professional environment. This role manages front desk operations, schedules appointments, manages individuals inquiries, and provides essential administrative support to clinical staff.

Responsibilities:

Patient Interaction

  • Greeting individuals and visitors warmly in person and over the phone.
  • Answer routine questions and direct inquiries appropriately.
  • Provide intake forms and assist with completion as needed.
  • Maintain a calm, organized, and professional reception area.

Scheduling & Coordination

  • Schedule and confirm individuals appointments using EMR management software.
  • Follow up on cancellations or rescheduling needs on time.
  • Coordinate referrals and communicate effectively with external providers.

Administrative Duties

  • Check individuals in and out
  • Maintain and update individuals records, financial information, and documentation.
  • Assist management staff with administrative duties
  • File, scan, and archive documents securely to ensure compliance.

Communication & Support

  • Relay messages to staff and respond to individuals concerns promptly.
  • Notify providers of individuals arrivals, delays, or urgent updates.
  • Assist with inventory management, supply ordering, and general office upkeep.

Qualifications:

  • High school diploma or GED required (associate degree preferred).
  • 1–2 years of experience in a medical office or customer service environment.
  • Proficiency in Microsoft Office and EMR systems; AdvancedMD experience preferred.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Knowledge of medical terminology and insurance processes (preferred).
  • Ability to pass background checks, credit checks, drug tests, and reference checks.
  • Valid U.S. driver’s license.

Position Details:

This is a full-time position, Monday through Friday, from 8:30 a.m. to 4:30 p.m.

While performing the duties of this role, the employee is regularly required to talk or hear. The employee frequently is required to stand, walk, use hands to finger, handle, or feel, and reach with hands and arms.

Work Environment:

This job operates in a professional office environment. This role routinely involves standard office equipment, including computers, phones, photocopiers, filing cabinets, and fax machines.
