Summary:
We are seeking an experienced Executive Assistant to support senior members of an executive leadership team. This role involves managing complex calendars, travel, high-level communication, and coordination of meetings and events. The ideal candidate is highly organized, proactive, and capable of handling sensitive information with discretion.
Key Responsibilities:
- Manage calendars, schedule appointments, and send reminders for executive leadership.
- Coordinate logistics for meetings, including board-level gatherings, and prepare/distribute related materials.
- Act as a liaison for internal teams and external contacts, including board members and key partners.
- Handle incoming communications and prioritize appropriately.
- Plan and manage travel arrangements, both domestic and international, including itineraries and contingencies.
- Maintain confidential files and sensitive documents, including legal and financial materials.
- Organize and manage high-profile, multi-day events, including vendor coordination and on-site execution.
- Prepare reports, presentations, correspondence, and briefing materials.
- Support executive initiatives and assist with special projects as needed.
Qualifications:
- Bachelor’s degree or equivalent combination of education and experience.
- At least 10 years of administrative support experience, with 7+ years supporting C-level executives.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with tools like Canva, SharePoint, Ariba, and Coupa is a plus.
- Strong written and verbal communication skills.
- High level of professionalism, discretion, and integrity.
- Excellent time management, organizational skills, and attention to detail.
- Comfortable working independently in a fast-paced, deadline-driven environment.
- Valid driver’s license and clean driving record.
