Job DescriptionWe are looking for a detail-oriented and proactive Administrative Assistant to join our team in Tustin, California. The ideal candidate will provide comprehensive administrative support, ensuring smooth operations and effective communication across teams.
Responsibilities:
• Coordinate with clients to plan and manage upcoming events, ensuring their needs are met.
• Collaborate with the internal production team to address new requests and requirements.
• Arrange and manage on-site labor, transportation, and other logistical needs.
• Handle the booking of services and maintain organized records for all arrangements.
• Finalize project costs and prepare accurate documentation for invoicing purposes.
• Provide exceptional customer service by responding to inquiries and maintaining clear communication.
• Perform data entry, email correspondence, and schedule appointments as needed.
• Utilize Microsoft Office tools, including Excel, Word, Outlook, and PowerPoint, to complete administrative tasks.
• Prioritize and manage tasks effectively, especially under tight deadlines.
• Maintain a high level of organization and motivation in a fast-paced setting.• At least 2 years of experience in an administrative or similar role.
• Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
• Familiarity with project management tools such as Monday.com is a plus.
• Strong organizational skills with the ability to multitask and meet deadlines.
• Excellent verbal and written communication abilities.
• Basic understanding of the event industry is preferred but not required.
• Capable of working independently and collaboratively within a team.
• Ability to remain calm and effective under pressure.
