Position: Accounting/Administrative Assistant - Fullerton Office

Bayview Property Management is seeking a detail-oriented and organized Administrative Team Member to join our team. The Administrative Team Member plays a crucial role in supporting our community management operations and maintaining efficient office procedures. The ideal candidate will have excellent communication skills, a strong work ethic, and the ability to multitask effectively.

Schedule:

· Full time

· Monday-Friday 7:45 am - 4:45 pm in office

· Office Hours 8:30 am – 5:00 pm

Salary / Benefits:

· Starting salary: $22-25 based on experience and certifications

· Medical: 75% coverage for employee; 100% paid by employee for dependents, and spouse

· Sick Leave: 6 days

· Holidays: 6 scheduled holidays (Memorial Day, Independence Day, Labor Day, Thanksgiving, Day after Thanksgiving, New Year’s Day) and 1 floating holiday used at your discretion with approval

· Cell Phone Reimbursement: $25 per month

· Vacation: 5 days after first year, 1 additional day added after each year worked

· Unpaid: 5 unpaid days after probationary period completion

· 401K: Up to 3% matching 401K retirement plan after 1 year of service

Required Skills:

· Associate's degree; additional education or certification in office administration is a plus

· Strong written and verbal communication skills

· Proficient in Microsoft Suite, strong Excel skills

· Able to do self-error-checking

· Extremely comfortable with using multiple computer programs/websites

· Willingness to learn new tasks and tackle new projects/responsibilities as needed

Responsibilities:

Customer Service

· Answering phone calls as Receptionist, taking messages for Community Managers and advancing urgent calls, managing inboxes

· Answering basic community questions

· Answering basic accounting phone calls and emails such as balance requests, statement requests, online payment setup assistance

· Update Owner information and support on mailings/blast communications

Projects

· Special projects at direction of Operations Manager, including data entry, web portal setup, digital file organization, email/call campaigns

· Special projects to support Community Managers, including data entry, filling out violation notice templates from inspection spreadsheet, updating community forms
