Scope of Position:
Working under the general direction of the Plant Supervisor. Requires a highly organized and proactive Shipping Clerk to work on a fast-paced manufacturing team. Role pivotal in ensuring timely, accurate, and professional handling of all outbound and inbound shipments, while maintaining exceptional communication with customers, carries, and internal departments.
Essential Duties and Responsibilities:
- Customer Communication and Scheduling.
- Answer all incoming calls to the shipping office with professionalism and urgency.
- Proactively contact customers to schedule deliveries and confirm shipping details.
- Provide shipment tracking information and estimated time of delivery.
- Shipping Documentation & Compliance.
- Preparing Bills of Lading (BOL), manual packing lists, and customs invoiced as required.
- Ability to read and interpret engineering documentation (e.g., drawings, bills of materials, and specifications) to ensure accurate packaging, labeling, and shipment of products.
- Maintaining and filing accurate records of all shipping paperwork and administrative documents.
- Ensure all shipments are properly photographed when loaded and documented
- Accurately handle all freight claims in a timely manner.
- Filing other administrative documentation for production.
- Preparing Bills of Lading (BOL), manual packing lists, and customs invoiced as required.
- Freight Coordination
- Schedule and manage incoming and outgoing flatbeds, LTL and all other carriers.
- Understand how to ship industrial units on flatbed trucks and smaller units through LT freight.
- Able to read and understand engineering documentation for shipping information.
- Coordinate with carriers, drivers, and receivers to ensure smooth pickup and delivery operations.
- Operational Excellence
- Update and maintain MDI improvements boards related to shipping.
- Collaborate with production, quality and sales team to meet customer delivery expectations.
- Identify and implement process improvements to enhance shipping efficiency and accuracy.
- System & Tools
- Utilize ERP systems and Microsoft Excel to track, inventory, freight cost, and shipment status.
- Ensure compliance with internal SOPs and quality standards.
- Performs other related duties and responsibilities as assigned.
Position Requirements:
- 3+ years of experience in shipping/logistics within a manufacturing environment.
- Strong understanding of freight logistics, including flatbed and LTL shipping.
- Ability to read and understand engineering shipping documentation.
- Excellent communication and customer service skills.
- Proficiency in ERP systems and Microsoft Office Suite.
- Detail-oriented
Preferred:
- Experience in custom manufacturing or HVAC systems.
- Proficiency in Global Shop Solutions or other ERP software.
- Basic Microsoft Excel Skills
- Enter and organize data in spreadsheets
- Comfortable formatting cells, adjusting column widths, and sorting date.
- Ability to create simple tables and use basic filters.
- Understand how to save, open, and navigate Excel workbooks.
- Willingness to learn and take on additional responsibilities as needed.
