The Sales Assistant performs administrative assistance to the Retail Investments and Insurance Team by providing timely and superior quality service to the team and their clients. The successful candidate will also have the opportunity to attain Series 6 and 63 licenses and ALH Insurance license within two years (preferred) for opportunity as a junior broker.


Essential Functions

  • Processes all new account paperwork to include creating client files, ensuring paperwork is accurate and completely signed, providing client with copies of all documents, sending originals to specific investment company, overnighting funds to investment company, and confirming all trades.
  • Schedules client review and bank staff referral meetings.
  • Assists Investment Executives in preparing for meetings by confirming appointment day prior to meeting, pulling client files for Investment Executive review and running performance reports.
  • Maintains positive customer relations through sending holiday cards, tracking clients’ birthdays, and sending any required correspondence.
  • Works with Investment Executive to implement Marketing plan. Coordinate mailings with bank’s Marketing department and maintain current marketing literature.
  • Coordinates regularly scheduled seminars. Prepare invite list and log RSVP’s, assist speaker with presentation needs, confirm attendance the day prior to the event, reserve room and order refreshments for the event, and assist in setting up room for events.
  • Provides requested client service by assisting Investment Executive executing transactions and assisting clients’ interactions with investment companies.
  • Completes and distributes internal reports. Monitors referrals in Sales Management (SM), ensures SM is updated by month-end, logs sales and reconciles monthly commission report from Osaic, maintains and submits Pipeline Report to Wealth Management monthly, and maintains and submits Retail Investment Deposit Report to Retail monthly.
  • Prepares files and copies documents for audits and committee reports including annual NDIP Committee reports, and internal and broker dealer audits. Assists Investment Executives with quarterly broker dealer questionnaire.
  • Provides various administrative duties to include answering Investment Executive telephone calls and forwarding messages promptly and monitoring Investment Executive e-mail to ensure timely responses.
  • Other duties as assigned.

Requirements:

  • Bachelor’s Degree in Business or a related field preferred. High School diploma required.
  • Proficient in Microsoft Office and ability to learn Broker Dealer’s CRM system.
  • Excellent communication skills, strong attention to detail, the ability to multi-task and ability to discuss complex matters with clients, business partners and prospects.
  • Analytical math and bookkeeping skills.
  • Ability to function independently and without supervision.
  • Motivated to learn and grow with the Wealth Management Department.
  • Attain Series 6 and 63 licenses and ALH Insurance license within two years preferred for opportunity as a junior broker.
