The Accounting Administrative Assistant is responsible for supporting the Controller and all clerical work at DealerMine Corporation. This position will assist with preparing reports, maintaining filing systems, assisting in day-to-day office administration tasks, and ensuring policies and procedures are followed by employees and customers alike. The ideal candidate will have excellent written and verbal communication skills and not be afraid to ask questions or make suggestions, will be proficient in Microsoft office, and will have a very strong attention to detail. This position is directly reporting to the Controller.
Duties and Responsibilities
· Schedule appointments and maintain calendars
· Create, update, and maintain spreadsheets
· Creates Invoicing, review details for billings
Manage the A/R and communicate with customers regarding past due invoices
· Responds to requests for W-9s, proof of deliveries, and invoices
· Completes manual deal packets according to established procedure
· Completes annual reports for financial institutions
· Utilize QuickBooks (desktop edition) to post payments, create, validate, and send statements, prep and distribute monthly invoicing,
and research issues
· Maintain training reports for sales staff
· Write and distribute email, correspondence, memos, letters, and forms
· Assist in preparation of regularly scheduled reports
· Develop and maintain filing system, both electronic and physical. Properly utilize existing filing systems
· Act as a point of contact for customers and employees by answering questions and routing them to the correct resource
· Ad-hoc duties as required
· Use AI to assist in writing documents, and create complex formulas
Qualifications
· Bachelor’s degree or equivalent work experience
· Minimum 2 years of proven experience or equivalent education in office processes and procedures
· Working knowledge of office equipment such as, printers, scanners, etc.
· Excellent written and verbal communication skills
· Ability to multitask and remain organized in a fast-paced environment
· Team-oriented work ethic and willingness to help others
· Commitment to consistently providing high level customer service to both internal and external customers
· Computer literate with proficiency in MS Office Suite
o Excel - able to do lookups, text to columns
· QuickBooks - Prefer experience with QuickBooks, preferably the desktop version
· Experience using AI/ technology system or navigating AI system
