Position Summary
ANIZ Inc. is seeking a detail-oriented and dependable Data Entry Specialist to support data management and reporting across all grant-funded programs, including Ryan White Part A, SAMHSA APP, SAMHSA ARMI, Fulton County, and Cobb County initiatives. This is an entry-level position designed for individuals interested in public health, healthcare administration, or data management. The Data Entry Specialist plays a critical role in ensuring accurate, timely, and complete data entry and documentation that supports program compliance, reporting, and quality improvement efforts.
The ideal candidate is organized, tech-savvy, and committed to accuracy when handling sensitive client information. Prior administrative or data entry experience is required.
Key Responsibilities
- Enter client demographic, service, and encounter data into designated program systems (including E2Fulton for Ryan White Part A and other assigned platforms for SAMHSA and county-funded programs) in accordance with required timelines.
- Review data entries for completeness, accuracy, and consistency; correct minor errors and escalate discrepancies as needed.
- Scan, upload, and organize client intake forms, consent documents, and service logs into appropriate electronic and physical filing systems.
- Monitor records for missing or incomplete documentation (e.g., unsigned forms or incomplete fields) and follow up with staff to ensure completion.
- Update client records as services are provided, modified, or closed.
- Generate basic, pre-built reports (e.g., monthly service counts) as requested by supervisors.
- Assist with data quality activities such as identifying duplicate records or outdated information.
- Support quarterly and annual reporting processes through data entry, formatting, and verification of reported figures.
- Maintain organized electronic and paper filing systems for all programs, including tracking logs for completed and pending documentation.
- Ensure compliance with HIPAA regulations and all program-specific confidentiality and data security standards.
- Communicate with program staff regarding missing information, data deadlines, and documentation requirements.
- Provide general administrative and data support as assigned by leadership.
Qualifications
- Bachelors degree in Public Health, Healthcare Administration, Information Systems, or related field required; or equivalent combination of education and relevant experience.
- Prior administrative, data entry, or records management experience required.
- Proficiency in Microsoft Excel, Word, and basic data systems.
- Strong attention to detail and commitment to data accuracy.
- Ability to learn and navigate multiple data systems with training.
- Strong organizational skills and ability to manage multiple tasks and deadlines.
- Ability to handle confidential and sensitive information with professionalism and integrity.
