Job Description
We are looking for a highly experienced Executive Assistant for HASLC’s Executive Director. Prefer someone with a bachelor’s degree and at least 8 years’ experience performing highly complex administrative duties in an executive management support position, or a combination of education and experience. This is a long-term temporary position.

Reports directly to Executive Director and gets guidance on priority of duties from Executive Director.

Act as a liaison and provide support to the Board of Commissioners. Arrange and handle all items for Board meetings and events, including but not limited to scheduling, drafting agendas, develop, compile, and distribute presentation materials/reports, oversee recording and preparation of meeting minutes, and preparing final board communications. Maintain compliance to applicable rules and regulations set in bylaws regarding Board matters.

Manage calendar, emails, and phone calls for Executive Director and other entities/persons. Prioritize inquires and requests while troubleshooting conflicts; make recommendations to ensure smooth day-to-day engagements.

Review Executive Director communications in advance (email, mail, voicemail) and perform as proxy, including follow-up.

Complete a broad variety of administrative tasks for senior leadership to ensure their ability to effectively lead the organization, including assisting with special projects, creating complex documents, reports, and presentations, composing and preparing correspondence, maintaining contact lists, making travel arrangements, and completing expense reports.

Serve as primary point of contact for internal and external constituents on all matters pertaining to management, including highly confidential, critical, and sensitive items. Prioritize and determine appropriate course of action by exercising good judgement based on HASLC policies and procedures.

Work with the leadership team to coordinate with community partners and conduct outreach.

Oversight of meeting room calendar and set up for meetings with necessary items

Other duties/projects as assigned.
Knowledge, Skills, and Abilities:

Must provide hospitality to all guests and create a welcoming environment and be able to establish rapport to build long-lasting relationships with internal and external stakeholders.

Excellent organizational skills and attention to detail. Must be able to anticipate the executive Director’s needs in advance of meetings, conferences, etc.

Expert proficiency with Microsoft Office 365 and related software. Ability to learn new computer programs quickly.

High degree of professionalism in dealing with diverse groups of people, including customers, Board members, senior executives, staff, community leaders, and the general public.

Ability to work highly independently and complete a high volume of tasks and projects with little or no guidance.

Exceptional communication skills, both oral and written.

Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.

Ability to maintain composure during stressful situations.

Ability to maintain a high level of integrity and discretion in handling confidential and sensitive information.

Exceptional analytical skills, with the ability to prioritize work and change priorities quickly.

Must have a valid driver’s license and reliable transportation.

Pay Details: $27.00 to $31.00 per hour
