Job Title: Sr. Recruiting & Compliance Coordinator

Location: Johnston, RI (Onsite 4 days/week, 1 remote after training)
Schedule: Monday – Friday, 8:30 AM – 5:00 PM
Pay Rate: $26.00 – $28.00/hour

Job Overview

Join a Talent Acquisition team in a highly structured and regulated role supporting employment-based green card sponsorship through the PERM labor certification process. This position blends recruiting coordination, administrative execution, and compliance management within a deadline-driven, audit-sensitive environment.

The Sr. Recruiting & Compliance Coordinator will manage end-to-end recruiting workflows, ensuring all required steps are completed accurately, documented thoroughly, and executed within strict regulatory timelines. This role requires strong attention to detail, process ownership, and the ability to manage multiple requisitions simultaneously while maintaining compliance with Department of Labor requirements.

Key Responsibilities

Recruiting & Process Coordination

  • Manage a regulated, end-to-end recruiting process from requisition through interview coordination
  • Post required notices and ensure all compliance steps are completed before advancing candidates
  • Manage applicant pipelines during PERM recruitment windows
  • Review prescreening responses to document lawful rejection reasons and identify qualified candidates
  • Coordinate and schedule interviews using internal tools
  • Send time-sensitive follow-ups, reminders, and communications to candidates and stakeholders

Compliance & Documentation

  • Maintain accurate, audit-ready records in applicant tracking systems and immigration case management tools
  • Ensure all recruiting activities align with PERM requirements, internal controls, and audit standards
  • Monitor candidate activity to ensure adherence to strict timelines
  • Identify, escalate, and help resolve compliance or process risks

Stakeholder & Communication Management

  • Partner with recruiters, hiring managers, Legal, and external immigration counsel
  • Engage with location contacts to confirm postings and process completion
  • Serve as a key point of contact for PERM timelines, recruiting steps, and process handoffs

Additional Responsibilities

  • Perform quality control reviews of HR and recruiting documentation (e.g., offer letters)
  • Support additional compliance, audit, or recruiting coordination tasks as needed
  • Cross-train in other HR operations or interview scheduling functions

Required Qualifications

  • High School Diploma or equivalent
  • 3–5 years of experience in administrative, operations, or recruiting roles within a regulated, compliance-driven, or audit-sensitive environment
  • 1–2 years of experience supporting risk management, audit, or compliance processes
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Strong attention to detail with the ability to manage multiple workflows and meet strict deadlines
  • Experience maintaining detailed, audit-ready documentation
  • Ability to identify, escalate, and resolve compliance or process issues
  • Strong organizational, time management, and communication skills

Preferred Qualifications

  • Associate’s or Bachelor’s degree
  • Experience with employment-based immigration processes (PERM), HR operations, or regulated recruiting
  • Experience working with Applicant Tracking Systems (ATS)
  • Familiarity with tools such as Oracle, Paradox, or similar systems

Work Environment & Tools

  • Hybrid schedule: 4 days onsite, 1 remote (after training)
  • Daily use of Outlook, Excel, Word, ATS platforms, and recruiting tools
  • Fast-paced, deadline-driven environment requiring high accuracy and accountability
