Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong computer skills and have experience in office management, providing exceptional customer service, and supporting daily administrative tasks. This role requires proficiency in various software applications, effective communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries
  • Operate multi-line phone systems to direct calls and provide customer support
  • Perform data entry tasks accurately and efficiently
  • Maintain organized filing systems for documents and records
  • Assist with calendar management, scheduling appointments, and coordinating meetings
  • Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and collaboration
  • Handle bookkeeping tasks using QuickBooks as needed
  • Proofread documents for accuracy and clarity before distribution
  • Provide clerical support including typing correspondence, reports, and other materials
  • Support dental or medical reception duties as required, ensuring patient confidentiality and comfort
  • Demonstrate excellent phone etiquette while communicating with clients and colleagues

We pride ourselves on delivering professional, high-quality painting services while maintaining strong relationships with our clients and employees. We are looking for a detail-oriented and reliable Administrative Assistant to join our team and help keep our operations running smoothly.

Job Responsibilities:

  • Answering office phone, scheduling estimate appointments, and addressing customer inquiries.
  • Managing QuickBooks: creating and sending invoices/estimates, posting payments, and tracking outstanding balances.
  • Processing crew payments, payroll data, and maintaining accurate records.
  • Monitoring vendor accounts and ensuring timely payments (supplies, subscriptions, insurance, rent, etc.).
  • Assisting with collections on overdue invoices.
  • Supporting sales and marketing tasks such as updating social media, responding to Google reviews, and preparing marketing materials.
  • Managing office supplies, branded gear, and job forms to ensure the office and crews are fully stocked.
  • Reviewing incoming emails and routing them to the proper team member.
  • Maintaining organized job folders, project files, and company records.
  • Assisting with scheduling, calendar updates, and coordinating weekly team meetings.
  • Providing general administrative support to the VP of Operations, Owner, Project Managers, and Estimator.

Qualifications:

  • 1+ year of administrative or office support experience (construction industry experience a plus).
  • Strong organizational skills with attention to detail.
  • Proficiency in Microsoft Office and QuickBooks (training provided!).
  • Excellent communication skills—both written and verbal.
  • Bilingual (English/Spanish) strongly preferred and considered a huge plus.
  • Ability to multi-task in a fast-paced environment.
  • Reliable, punctual, and professional in appearance and demeanor.
