POSITION OVERVIEW

The Administrative Assistant provides essential administrative and logistical support to plant production operations. This role supports rail and truck logistics, inventory control, documentation, and reporting for finished products within a manufacturing environment. The position is based on-site at the Washington, IN facility and works closely with production and operations leadership to ensure smooth daily plant activity.

Hours- 2 to 3 Weekdays 7a to 4p


KEY RESPONSIBILITIES

  1. Prepare and distribute various production and operational reports
  2. Organize, maintain, and manage documentation using SharePoint
  3. Respond to internal and external business inquiries via phone and email
  4. Review quality software to ensure shipped products meet customer specifications
  5. Coordinate product shipping activities, including:
    1. Shipment documentation
    2. Inspection sheets
    3. Shipping calendars and updates
  6. Maintain scale tickets for truck and rail shipments
  7. Handle administrative processing for returned product
  8. Greet and assist visitors to the operations Building
  9. Provide general administrative support to production departments
  10. Perform other duties as assigned in support of plant operations

REQUIRED QUALIFICATIONS

  1. High school diploma or equivalent
  2. Previous administrative experience, preferably in a manufacturing or production environment
  3. Advanced proficiency in Microsoft Office applications (Word, Excel, Outlook, SharePoint, PowerPoint)
  4. Experience with or ability to learn company-specific software
  5. Prior exposure, SAP, Microsoft AX preferred
  6. Strong written and verbal communication skills
  7. Basic math skills
  8. Proven ability to manage time effectively, multitask, and prioritize work

  1. On-site role within a production facility
  2. Casual attire: jeans and standard workwear; closed-toe shoes required

REPORTING STRUCTURE

  1. Reports directly to the Department Manager
  2. Works alongside 3–4 additional team members within the department
  3. Approximately 150 employees on-site at the facility
