ADMINISTRATIVE ASSISTANT LEVEL II – Hot Springs, Arkansas
CLASSIFICATION: Non-Exempt

LOCATION: Hot Springs, Arkansas
About the Role:
The Administrative Assistant Level II serves as a clerical expert, providing high-level administrative support to the Director or Executive office. This role ensures the efficient processing of complex office actions, coordination of travel and reporting, and supports lower level Administrative Assistants to maintain smooth office operations and mission-critical workflows.
EDUCATION/EXPERIENCE REQUIRED:
- HS diploma (2-year college degree preferred)
- Four (4) years of experience as an Administrative Assistant in an office environment
- Two (2) years of experience supporting at an executive level
- Five (5) years of experience utilizing office software, specifically: MS Word, MS Excel, MS PowerPoint, MS Publisher, MS Outlook
- Demonstrated experience with document management, preferably in a legal department or office
- Demonstrated ability to prioritize and organize simultaneous workflow duties
QUALIFICATIONS:
- Must meet all qualifications of Administrative Assistant Level I
- Ability to adapt to changes in procedures and assignments
- Ability to establish working relationships at all organizational levels
- Expert knowledge of federal personnel rules and regulations, including the Foreign Affairs Manual Volume III (FAM-Personnel)
- Ability to accurately manage taskers and assignments
- Ability to disseminate information and requests to all office personnel and compile responses
DUTIES/TASKS:
- Perform all duties of Administrative Assistant Level I
- Independently process the most complex types of office actions
- Temporarily support other locations within a 30-mile radius as needed
- Evaluate and consolidate information from various sources under short deadlines, including survey results and statistical reports (retention, staffing, Passport processing, etc.)
- Provide guidance and training to lower level Administrative Assistants, including checking work
- Assist with new hire orientation for Government employees
- Coordinate Government travel using Travel Manager System (E2): book tickets, hotels, rental vehicles, estimate per diem, and process vouchers
- Provide input into the Management Information System (MIS) and report Agency/Center activities to PPT HQ
- Track and report official time and attendance records through Time and Attendance Electronic System (TATEL)
- Track and verify Government employee awards, recognition payments, and transit reimbursements
- Respond to routine policy and procedure questions and provide related reports (e.g., contractor turnover, time and attendance)
- Process employees for DS badges via MDIS/DOS enrollment system, including PIN resets and unlocks
- Utilize Federal personnel rules and FAM-Personnel regulations in all applicable tasks
