Position Summary: The Sanctuary Food & Beverage Director’s Assistant is someone who provides high-level administrative, operational, and marketing support for the Food & Beverage Division and must be highly organized, discreet, and detail-oriented. This role manages the Director’s schedule, correspondence, and financial processes while coordinating departmental projects and communication across divisions. In addition, the Director’s Assistant supports marketing initiatives through seasonal menu updates, collateral creation, and digital accuracy, as well as assisting with event logistics, photoshoots, and internship programs. This position ensures the Director’s office operates seamlessly while upholding the resort’s standards of professionalism and excellence.

Pay Rate: The rate of pay listed on job boards are auto-generated numbers. Kiawah Island Golf Resort’s actual rate of pay will be determined during the hiring process.

Qualifications:

• A minimum of 2 years in an office management role, plus a year of administrative experience in the Hospitality industry, is required.
• Ability to handle confidential information is required.
• Must work both independently and in a team environment.
• Must possess excellent communication skills in English, both verbal and written

Expectations & Responsibilities:

• Handle confidential and sensitive information with discretion and professionalism.
• Issue and keep track of F&B gift certificates as directed by leadership.
• Manage the HotSos accounts for all Sanctuary F&B Division members.
• Coordinate with various technicians to repair equipment.
• Vet and schedule candidates for interviews for various positions for all outlets as needed.
• Schedule and send out meeting agendas and record minutes for each meeting attended.
• Assist in correspondence between the F&B and Rooms Division within the hotel.
• Manage the Manager’s Schedule weekly, handle holiday recaps, and balance schedules for several department heads as needed.
• Facilitate financial endeavors, including Birchstreet, petty cash vouchers, holiday YOY, and Info Genesis.

• Reconcile the F&B Director’s P-Card.
• Balance the F&B Director’s schedule.
• Manage Food and Beverage Summer Internship Program.
• Maintain a high level of cleanliness and organizational standards for the Director of F&B’s space.
• Organize and prepare for meetings, including gathering documents and attending to logistics.

• Coordinate marketing opportunities with the F&B departments of The Sanctuary Hotel, and provide yearly Holiday Information to the Marketing Team.
• Work within Adobe Cloud for seasonal outlet menu flips, ensuring grammatical accuracy within Forbes Standards.
• Ensure the accuracy of the online presence of The Sanctuary’s website.
• Schedule photoshoots and content ideas, sending all product information over.
• Assist with creating and dispensing seasonal collateral, including Reader Boards, Check Inserts, and Activity Guides.
• Uphold the core values and policies & procedures of the resort.
• All other duties as assigned.

Essential Physical Requirements:

• Ability to perform computer-based tasks (typing, reservations, email, report preparation) and phone communication while seated.
• Ability to transition between sitting and standing as needed.
• Ability to sustain focus and accuracy in a fast-paced environment while seated at a workstation.
