JOB SUMMARY:

Compiles and maintains accounts payable records. Ensures all bills are paid efficiently and on time. This position will provide administrative and clerical support by processing, verifying, reconciling invoices, monitoring expenses, and recording, all for accounting purposes.

Essential Duties and Responsibilities:

*AsuccessfulAccount PayableClerk IIsatisfactorilyperforms thesegeneral categoriesof duties. Responsibilities include, but are not limited to:

  • Managing accounts payable using accounting software and other programs
  • Handling accounts payable for separate entities and vendors
  • Establishing and maintaining relationships with new and existing vendors
  • Ensuring bills are paid promptly and accurately while adhering to departmental procedures.
  • Processing due invoices for payments
  • Comparing various financial records like bank statements, credit card statements, general ledgers, accounts payable/receivable ledgers, and other external documents with internal accounting records to identify discrepancies
  • Comparing purchase orders, prices, terms of payment, and other charges
  • Processing transactions
  • Reviewing invoices for appropriate documentation before payment
  • Performing invoice data entry
  • Processing sales tax payments as provided by Tax Department
  • Processing FSA and HRA payments as provided by respective companies
  • Generating purchase requisitions when necessary
  • Assisting senior financial officers as needed

Education and/or Experience:

  • Associate degree or equivalent
  • Strong mathematical skills
  • Experience in accounts payable
  • Experience with accounting software and online platforms

Skills and Abilities:

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
  • Knowledge of Accounting, Database, Spreadsheet, and Word Processing software.
  • Interpersonal communication skills with the ability to work as a team player while maintaining a high degree of customer service and confidentiality.
  • A high degree of integrity and the ability to handle confidential information with absolute discretion.
  • Strong initiative (drive, sense of urgency) and flexibility.
  • Detail-oriented with high accuracy, including data entry and mathematical aptitude.
  • Strong organizational and administrative skills with the ability to multitask.
  • Ability to meet deadlines and follow directions.
  • Excellent time management skills and a demonstrated ability to remain calm under pressure.
