Headquartered in Charlotte, NC., Form Technologies is a global manufacturing organization with growing revenues in excess of $800M. Specializing in precision component manufacturing, Form Technologies is comprised of three companies, Dynacast, Signicast, and Optimim. Their markets include automotive, consumer electronics, telecommunications, healthcare and many other industries. The company currently operates 32 manufacturing facilities in 19 countries worldwide with plans to further expand globally through mergers and acquisitions.

Position Summary:

The Executive Assistant will handle a wide range of executive and administrative support tasks. They will be proactive, detail-oriented, and able to manage multiple priorities in a fast-paced, Corporate environment. This role requires strong judgment, exceptional communication skills, and a high level of professionalism and confidentiality. This position will report directly to the Corporate Office Administrator.

Specific Responsibilities:

  • Coordinate complex travel arrangements for the executive team, including a CEO with a global travel schedule
  • Manage executive calendars, including scheduling, meeting logistics, and travel coordination for the executive team
  • Prepare, process, and reconcile executive expense reports
  • Prepare, edit, and format internal and external documents, presentations, and reports with accuracy and professionalism
  • Handle confidential information with discretion and integrity
  • Facilitate scheduling, meeting agendas, taking minutes, and track follow-ups
  • Serve as the primary point of contact between the Corporate office and internal/external stakeholders, ensuring clear and professional communication
  • Draft, review, and distribute executive-level communications such as emails, memos, newsletters, and announcements
  • Maintain and update executive and Corporate email distribution lists
  • Assist the Corporate Office Administrator with planning and execution of Corporate event
  • Help manage and prioritize executive emails, ensuring timely follow-ups and communication
  • Create Corporate communication campaigns including internal videos, speaking engagements, social media postings, and other content related matters, in close collaboration with the marketing team
  • Support executive strategic initiatives by developing and distributing internal communications and associated collateral to ensure alignment and execution across teams
  • Additional duties and responsibilities may be assigned as requested

Position Requirements:

  • 2-4 years' experience of executive level support (Vice President or above) required
  • Bachelor's degree required
  • Exceptional organizational and prioritization skills, required
  • Global company experience in a matrix organization, preferred
  • Experience in coordination of Corporate travel and trainings
  • Ability to interface with international team members
  • Must be very proficient in Word, Excel, Outlook, and PowerPoint
  • Excellent interpersonal and teamwork skills
  • High energy and ability to create results
  • Strong organizational and prioritization skills
  • Extremely high level of confidentiality is necessary
  • Ability to sit at a desk and use a computer for extended periods
  • Occasional light lifting of office items
