Job Title: Payoff and Reinstatement Specialist FLSA Status: Non-Exempt

Supervisor: Operations Manager Direct Reports: None

The Payoff and Reinstatement Specialist is responsible for quoting fees and costs, preparing and sending Payoff and Reinstatement letters, and handling client requests via phone calls and email on a timely basis.

Duties & Responsibilities:

  • Receive requests from firm clients or external requests from borrowers via phone or email for a payoff or reinstatement letter to be prepared and sent in a timely manner.
  • Prepare fees and cost quotes using the CaseAware Quote feature, being sure to include all fees and costs information up to and including the “good through” date of the quote.
  • Using the fees and costs quote prepared and the information provided by the client the Payoff and Reinstatement Specialist, create an accurate Payoff or Reinstatement letter.
  • Submit the letter for attorney approval.
  • Send the letter via the correct predetermined avenue once letter is approved by attorney.
  • Handle client or internal requests for additional information on the case with assistance from the
    Operations Manager, if needed.
  • Handle all aspect of the letter request from the time it is received to the time it is sent.
  • Notify Accounting of the time and number of payments being received.
  • Initiate the release of funds, once verified for accuracy, to clients to satisfy the Payoff or Reinstatement Request.
  • Document in both the client system and the firm’s internal system, all activity and borrower communication regarding loan.
  • Other duties as assigned by the Operations Manager.

Preferred Requirements:

  • High school diploma
  • Prior experience in a position that included accounting, business, or finance related job responsibilities
  • A strong aptitude and interest in working with numbers
  • Ability to perform under tight time requirements when necessary
  • Solid written and oral communication skills when communication with attorneys, staff and clients
  • Strong organizational skills
  • Highly proficient in Microsoft Excel, Word, and Outlook

While performing the duties of this job, the employee is usually required to talk, hear and walk, occasionally required to stand and lift and frequently required to sit, reach with hands and touch. Specific vision abilities required by this job include close vision and ability to adjust focus.

While performing the duties of the job, the employee is usually in an indoor office environment. The noise level in the work environment is usually moderate.
