Job DescriptionWe are looking for an organized and personable Office Manager to join our team in Waltham, Massachusetts. In this Contract to permanent position, you will play a pivotal role in ensuring the smooth day-to-day operations of our office while fostering a welcoming and inclusive environment. This is an onsite role that requires strong administrative skills and the ability to collaborate effectively with both in-office and remote team members.
Responsibilities:
• Coordinate catering arrangements for employees, assist with event setup and decorations, and manage mail distribution.
• Support the company’s culture initiatives by collaborating with the internal "culture squad" to promote a positive work environment.
• Perform general administrative duties, including scheduling, correspondence, and maintaining office supplies.
• Serve as a key point of contact for remote workers, ensuring seamless communication using tools like Slack, Zoom, and Google Suite.
• Maintain a detail-oriented and inviting office atmosphere to create a welcoming experience for employees and visitors.
• Assist with accounts payable (AP) and accounts receivable (AR) tasks as needed.
• Utilize software tools such as Concur, ADP, and CRM systems to manage financial and administrative processes.
• Answer inbound calls and provide administrative support to various departments as required.
• Ensure compliance with company policies and procedures, including handling confidential information securely.• At least 3 years of experience in an administrative or office management role.
• Proficiency in tools like Slack, Google Suite, and Zoom to effectively communicate and collaborate.
• Strong organizational skills with the ability to manage multiple tasks and priorities.
• A welcoming and inclusive personality with the ability to foster positive office interactions.
• Familiarity with accounting and administrative tools such as ADP, Concur, and CRM systems.
• Experience with accounts payable (AP) and accounts receivable (AR) is a plus.
• Excellent verbal and written communication skills.
• Ability to work onsite in Waltham, Massachusetts, and collaborate with a diverse, global team.
