Job Summary i am seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support in helping with operations, managing schedules, coordinating projects, and handling a variety of clerical tasks also out of the house. Grocery shopping, mail delivery, with professionalism and efficiency. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to facilitate seamless interactions both internally and externally. Responsibilities

  • Manage and maintain complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Assist with project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
  • Handle all aspects of office management such as filing, data entry, document proofreading, transcription, and maintaining organized records.
  • Provide exceptional executive administrative support by preparing correspondence, managing phone etiquette on multi-line phone systems, and facilitating communication flow.
  • Oversee bookkeeping and basic QuickBooks entries to support financial recordkeeping and invoicing processes.
  • Support event planning activities for company functions or client meetings, ensuring all logistics are handled efficiently.

Requirements

  • Proven experience as a Personal Assistant or in an administrative support role with strong office management skills.
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Strong typing skills combined with transcription and proofreading experience for high-quality document preparation.
  • Knowledge of QuickBooks for bookkeeping purposes and familiarity with DocuSign for electronic signatures is preferred.
  • Exceptional communication skills with professional phone etiquette across multi-line phone systems.
  • Ability to handle confidential information discreetly while maintaining a high level of accuracy in clerical tasks.
