Client Care Coordinator (Full-Time, In-Office) | Mesa, AZ

Schedule: MondayFriday, 8 AM5 PM | On-site Only

Job Brief

The Client Care Coordinator (CCC) keeps Inner Balance Counselings outpatient practice fully booked and running smoothly. You will handle a high volume of inquiries, conduct brief intake screenings, match clients to clinicians, and schedule the initial session. Multitasking across phone, EHR, CRM, and email is critical. This role is on-site, MondayFriday, 8 AM5 PM, and performance is reviewed weekly or monthly.

Responsibilities

  • Respond promptly to phone/email inquiries.
  • Conduct intake screenings and gather demographics, insurance, and risk info.
  • By Day 30, complete screening + scheduling within ~ 20 minutes.
  • Match clients to clinicians (specialty, availability, client needs).
  • Schedule in the EHR, confirm details, explain paperwork/fees.
  • Ensure all forms/consents are finished before session 1.
  • Maintain meticulous documentation and waitlists; update referral partners.
  • Communicate new assignments to clinicians; resolve barriers to care.
  • Assist with reschedules, benefit questions, fax tasks, and projects.
  • Uphold HIPAA and confidentiality at all times.

Requirements

  • Experience: 2 yrs in a fast-paced mental-health setting OR 12 yrs in a high-volume office plus strong mental-health understanding.
  • Technical Skills: Google Workspace, multi-line phones, CRMs, EHRs; quick learner; typing 5060 wpm (tested).
  • Insurance Knowledge: Solid grasp of benefits, policies, and ability to explain them.
  • Soft Skills: Warm phone etiquette, superb organization, calm under pressure, receptive to direct feedback.
  • Work Style: Self-motivated, independent, detail-oriented.
  • Schedule: Full-time, on-site, MondayFriday, 8 AM5 PM.
  • Reporting: Reports to Practice Manager; collaborates with onboarding, clinicians, admin, and billing.

Salary & Benefits

  • Base pay $17.00$22.00/hr (DOE) + monthly metric-based incentives.
  • 40 hrs sick time + 9 paid holidays per year.
