About the Role
We are seeking a reliable and detail-oriented Office Assistant to support our Human Resources and executive teams. This entry-level role is ideal for someone who enjoys staying organized, communicating with others, and contributing to a positive office environment.
The Office Assistant will work primarily from our San Dimas office, with required travel once per week to our San Bernardino office to assist with scanning, filing, and administrative support. This position may also provide occasional coordination and support to other office departments as needed.
What You’ll Do
- Provide general administrative and clerical support to the HR team
- Answer and route incoming phone calls; greet and assist office visitors
- Assist with employee communications, company announcements, and special recognitions (birthdays, anniversaries)
- Maintain employee lists and HR tracking reports (vacation, sick time, compliance trackers)
- Coordinate with IT on new hire equipment setup (phones, tablets, laptops)
- Order, organize, and maintain office supplies and company gear
- Scan, organize, and digitally file employee records and company documents
- Support recruiting efforts by scheduling interviews and communicating with candidates
- Assist with background checks, drug/alcohol screenings, and DOT medical certifications
- Travel weekly to the San Bernardino office for document scanning and administrative support
- Participate in meetings and assist across departments as needed
What We’re Looking For
Required Qualifications
- 1–2 years of administrative or office support experience (preferred but not required)
- Strong attention to detail and organizational skills
- Excellent written and verbal communication abilities
- Ability to manage multiple tasks and follow through independently
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to maintain confidentiality and handle sensitive information
- Willingness and ability to travel between San Dimas and San Bernardino
Preferred Qualifications
- Experience supporting HR or executive teams
- Familiarity with general office equipment
- Experience helping coordinate small office events or team activities
- Valid driver’s license and reliable transportation
