Position Overview

The AP/AR & Project Support Specialist plays a central role in managing financial workflows, subcontractor compliance, and administrative operations across the organization. This position supports project managers, superintendents, and leadership by ensuring accurate accounting entries, timely draw processing, and consistent documentation control. The role also provides technology onboarding support and serves as a backup to front desk operations.

Key Responsibilities

Accounts Payable / Accounts Receivable

• Manage the full AP/AR process with accuracy and timeliness.

• Enter all AP and AR invoices into the accounting system.

• Cut checks based on vendor terms, payment schedules, and approvals from project managers and company leadership.

• Enter and reconcile monthly credit card receipts by cardholder.

• Serve as the primary point of contact for all AP/AR inquiries.

• Monitor the AP mailbox and respond or route items appropriately.

Client Draws & Payment Processing

• Process and review monthly client draws.

• Gather, prepare, and submit all required draw documentation.

• Create, send, and track lien waivers.

• Initiate and review Superintendent sign‐offs.

• Verify that draw values match the accounting system (Sage) prior to submission.

• Send completed draws to clients after internal approvals (Sr. PM, Ben, and AP/AR lead).

• Manage draw payments and ensure timely posting and tracking.

Project & Subcontractor Support

• Assist Project Managers with project setup in the accounting system.

• Manage subcontractor documentation compliance, including:

• Pre‐qualifications

• W‐9s

• Insurance certificates

• Vendor lists

• Contact information

• Track and maintain records for 2nd‐tier subcontractors and suppliers.

• Monitor the contracts mailbox and update internal reports.

• Track and report subcontractor safety violations.

Administrative & Technology Support

• Provide administrative support for the company safety program.

• Assist with technology setup and troubleshooting for staff.

• Handle technology onboarding for new employees.

• Answer incoming calls and provide backup support to the front desk.

• Support general office operations as needed.

• Perform other duties and special projects as assigned.

Qualifications / preferred

• AA/AS/BS degree in finance/accounting.

• 2 years’ experience in AP/AR or construction accounting preferred

• Strong organizational skills and attention to detail.

• Ability to manage multiple priorities in a fast‐paced environment.

• Excellent communication and customer‐service skills.

• Proficiency with Microsoft Office and general technology troubleshooting.

• Familiarity with Sage 100C or similar accounting software.
