Job Summary
The Staffing Coordinator is responsible for managing all onboarding and offboarding activities for both internal employees and vendor-based personnel. This role ensures a smooth start and exit experience by coordinating HR documentation, systems access, compliance tracking, and cross-functional communication.
This position requires strong attention to detail, excellent organizational skills, and the ability to build effective working relationships across HR, IT, operations, and vendor partners.
Key Responsibilities
Onboarding & Offboarding
- Coordinate end-to-end onboarding for internal and vendor hires, including documentation, system access, and training readiness
- Document and maintain standardized onboarding and offboarding processes
- Set up new hires in HRIS and related systems
- Manage offboarding paperwork and access removal for vendors and internal employees
HR & Compliance Coordination
- Partner with HR to track background checks, drug screenings, and start-date readiness
- Ensure completion of mandatory onboarding and compliance training
- Track weekly timesheets, attendance, and continuing education during training periods
- Manage sensitive and confidential employee and vendor information securely
IT & Systems Access
- Partner with business operations and IT teams to determine required system access for new hires
- Submit and track IT tickets for hardware, software, and remote desktop access
- Order hardware for internal employees and coordinate access for vendor personnel
- Maintain detailed onboarding status tracking, including IT ticket progress
Communication & Support
- Serve as a primary point of contact for new hires during onboarding
- Inform employees of first-day tasks, system access instructions, and account setup
- Escalate HR, IT, or onboarding issues to supervisors, vendor managers, or training teams
- Distribute manuals, credentials, and onboarding materials as needed
Required Qualifications
- 2+ years of experience in staffing coordination, recruiting coordination, HR operations, or onboarding support
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills
- Ability to work effectively in a cross-functional team environment
- Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint)
- High attention to detail and ability to handle confidential information
