ABOUT US:

We are a boutique office in the heart of the Upper East Side, on Park Avenue. Our office hosts the practices of two cosmetic plastic surgeons and one cosmetic nurse injector. We provide a full spectrum of surgical and nonsurgical aesthetic care to our patients. We are an enthusiastic, cohesive team dedicated to providing the highest level of care possible to our patients.

JOB SUMMARY:

The Front Desk Coordinator will handle a wide range of administrative support and oversee the day-to-day operations of a cosmetic plastic surgery office. The Front Desk Coordinator ensures that all patients feel welcome to the practice and schedules patient appointments in a professional, accurate, and courteous manner. The ideal candidate will exhibit professionalism, solid judgment, discretion, and effective written and verbal communications. The ideal candidate will have experience in the medical/surgical aesthetics field. The Front Desk Coordinator must be proactive in anticipating and prioritizing the business needs of the team, and helps to facilitate an efficiently run office through time management, productivity, and initiative.

RESPONSIBILITIES:

  • Appointment Scheduling

  • Conducts daily review of schedule status

  • Cancels and reschedules appointments as necessary; conducts follow-up on no-shows

  • Monitors and modifies the daily schedule

  • Coordinates appointments for out-of-town patients

  • Patient check-in, greeting each patient in a pleasant and professional manner

  • Tracks patients in the reception area and communicates with them as needed

  • Verifies patient information on file is complete, accurate, and up-to-date

  • Accurately records updates and corrections as needed

  • Enters all new patient demographic information into the computer

  • Marks arrival time of patients in office; notifies clinical staff of patient arrivals

  • Monitors the waiting area

  • Regularly checks on patients in the waiting room to ensure each is comfortable

  • Reassures patients subject to wait time and informs clinical staff of status as needed

ADMINISTRATIVE TASKS:

  • Places telephone calls to new patients to confirm upcoming appointments and verifies information required of the patient at the time of appointment

  • Places telephone calls to no-show appointments; reschedules as needed

  • Assists office manager as needed

  • Demonstrates confidentiality when handling sensitive information and matters

  • Maintains professional and courteous relationships with management, colleagues, vendors and patients

  • Seeks out opportunities to evaluate existing processes and makes improvements when necessary

  • Performs a wide variety of duties and projects as assigned by office manager
