We are seeking a highly organized, client-centric Client Services Specialist to join our team. This role is vital to maintaining strong client relationships and ensuring the smooth execution of administrative and operational tasks. You’ll be the bridge between our advisors and clients—ensuring communications are timely, paperwork is processed accurately, and appointments are seamlessly scheduled.
Key Responsibilities
Proactively manage the scheduling of client meetings and follow-ups.
Prepare and process account forms, transfers, and other documentation with precision.
Draft, send, and track client correspondence and follow-ups (emails, mailers, meeting reminders).
Coordinate with custodians and vendors to ensure accurate and timely processing of client requests.
Maintain and update client records in CRM and internal systems.
Assist in onboarding new clients and delivering a smooth first impression.
Help build and maintain client rapport through thoughtful, consistent communication.
Support the firm’s client service calendar with key dates and deliverables (e.g., reviews, RMDs, quarterly check-ins).
