About the Role

As the Post-Construction Scheduling Manager, you are the glue that holds the department together. You are the primary point of contact for customers for scheduling requests, complaints, and urgent issues. Your mission is to deliver exceptional customer service, ensure jobs are set up clearly and correctly, and set our field teams up for success.

You are both the Set-Up Person and the Touch Base Person meaning you ensure every job is scheduled with accurate details, clear instructions, and strong communication from start to finish.

Your work directly impacts customer satisfaction, team efficiency, and job success.


Key Responsibilities

Be the “Set-Up Person” Set Teams Up for Success

You are responsible for making sure every job is scheduled with complete, accurate, and clear information, so field teams can execute without confusion.

  • Serve as the main customer contact for scheduling, changes, complaints, and special requests
  • Ask the right questions to fully understand customer needs
  • Confirm job details with clients before scheduling
  • Document clear, detailed, and specific instructions in the job schedule
  • Capture and communicate:
    • Access and lockbox info
    • Special billing instructions
    • Water/electric access
    • Special client requests
    • Time constraints or deadlines
  • Identify required supplies or special materials and confirm with field leadership if unsure
  • Ensure job setup is clear enough that a frontline employee can complete the work without issues.


Be the “Touch Base Person” Keep Everyone Aligned

You consistently touch base with clients, operations, and field teams to ensure priorities are clear and jobs stay on track.

  • Communicate critical job priorities to Operations and field teams
  • Flag urgent requests (ex: priority unit completion before an owner walk)
  • Confirm job execution at key stages
  • Proactively follow up on progress, changes, delays, or concerns
  • Maintain strong communication across Scheduling, Operations, and Customers


Customer Service & Communication Excellence

  • Provide fast, professional, and empathetic customer service
  • Handle scheduling concerns, complaints, and urgent issues calmly and effectively
  • Ensure customers feel heard, informed, and confident in our service
  • Keep communication clear, timely, and solutions-focused


Organization & Systems

  • Maintain accurate and detailed scheduling records
  • Follow department processes and workflows.
  • Keep schedules organized, updated, and aligned with operations capacity
  • Support process improvements to enhance efficiency and service quality
